**Key Responsibilities**:
- Greet clients and visitors warmly, ensuring a positive and professional first impression.
- Handle client inquiries and provide accurate information regarding services, fees, and scheduling.
- Manage and maintain appointment calendars for all practitioners, including rescheduling and cancellations.
- Collect and verify client information, including personal details and health insurance information.
- Assist with administrative tasks such as filing, data entry, and preparing client forms.
- Ensure the reception area is clean, welcoming, and well-organized.
- Process client payments and handle billing inquiries.
- Maintain confidentiality of all client information in line with privacy regulations.
- Support the administrative team with additional tasks as required.
**Key Requirements**:
- Previous experience in a receptionist or customer service role, ideally within a health or wellness setting (psychology or medical background preferred but not essential).
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Ability to multitask.
- Proficient in using office software, including Microsoft Office and practice management software (or willingness to learn).
- A friendly, approachable, and professional demeanor.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy in all tasks.
- A commitment to confidentiality and professionalism.
**Desirable Skills & Attributes**:
- Knowledge of health insurance processes and billing (desired but not essential).
- Experience with psychological or health-related administrative work (desired but not essential).
- Strong problem-solving abilities and a proactive approach to tasks.
- Previous experience in a wellness-focused environment or psychology practice is a plus.
