Japanese-speaking Office Support / Business All Rounder

About This Position
- Our Client, a newly launched subsidiary, conducts global business operations in the area of nonferrous metals, focusing primarily on copper and rare metals. _Upon their new opening, they are seeking for a proactive and experienced Japanese and English bilingual supportive player who would take on the role as an Office Support/Business All Rounder._

**_ Highlights:_**
- **_Temporary employment for the first 6 to 12 months, followed by full-time employment._**:

- **_Package of up to $75000 plus Super. (plus casual loading for the first 6-12 months)_**:

- **_Melbourne CBD Location_**
- If you are passionate and have key experiences in supportive roles (such as organising, coordinating, and scheduling meetings and other events for your team, handling correspondence on behalf of your team where necessary and other ad hoc duties) and most of all who is able to well-represent for a company - this position is for you._

**_ Please note, the position highly involves working with the Japanese HQ, therefore it will be suitable for someone who enjoys and understands working under Japanese business management._**

What does your next role look like?

**_Key responsibilities include:_**
- _Provide comprehensive administrative support to their executive team and _expatriates _including managing calendars and scheduling meetings_
- _Office administration tasks such as managing office supplies, maintaining office equipment, and coordinating maintenance requests_
- _Translation of correspondence from Japanese to English and/or back as required_
- _Manage expense settlement and reimbursement for employees, including verifying receipts and processing payments_
- _Calculate and process allowances for expatriates, ensuring accuracy and timely transfer_
- _Perform general administrative tasks such as answering phones, filing documents and maintaining records_
- _Prepare, edit, and format documents, presentations, and reports with a high level of professionalism_
- _Coordinate and schedule meetings, conferences, and events, ensuring smooth logístical arrangements_
- _Conduct research, gather information, and prepare briefing materials as required, providing valuable insights to support decision-making_
- _Manage and maintain accurate records, files, and databases, ensuring easy accessibility and organisation_
- _Assist with financial tasks such as expense tracking, invoice processing, and budget management_
- _Organise business visa for expatriates, including visa sponsorship and renewal_
- _Organise and assist with expatriates to lease a house/apartment_

A little about you
- _Fluency in _**_Japanese and English_**_, both spoken and written_
- _3+ years of _**_Secretarial_**_, _**_Executive Assistant_**_ or _**_Administrative_**_ experience_
- _Good _**_communication_**_ and _**_interpersonal_**_ skills_
- _Ability to communicate with stakeholders at all levels and across multiple geographies (Mainly Japan and Australia)_
- _Good _**_team player_**_ and problem solver, _**_responsible_**_, and can work independently with detail-oriented mindset_
- _Adapt approach and demeanour in real time to match the shifting demands of different situations._
- _Ability to multi-task. Well-developed organisational skill is a crucial requirement._
- _Attentive to details at all times is crucial to be successful._
- _Good understanding of business etiquettes both Australia and Japan._
- _Strong commitment and ability to work long-term and stably, demonstrating dedication and reliability_

**_ CANDIDATES MUST HAVE THE RIGHT TO WORK FULL-TIME IN AUSTRALIA._**

Location
- Melbourne CBD - Full Onsite at the initial stage (requirement). _
- Followingly, Optional remote/flexible work is negotiable._

Working Hour
- 9:00AM to 5:30PM | Monday to Friday - Flexible Work Hours are negotiable_
- You are expected to work the hours required to satisfactorily perform the duties and responsibilities of your position. This means you are expected to work an average of 38 hours per week, predominantly during usual business hours, plus reasonable additional hours as necessary._

Salary range
- $65,000 - $75,000 base + Super _(plus casual loading for the first 6-12 months)_

Working flexibility
- Full Onsite at the initial stage (requirement). _
- Followingly, Optional remote/flexible work is negotiable_

- July - August 2023_
