Administration/rostering Assistant

**Primary Purpose of Role**
The Part-Time Admin Assistant / Rostering Assistant will support the administrative and rostering functions of the organization, ensuring smooth operations and efficient scheduling of staff. This role is crucial in assisting with client services, rostering, and maintaining clear communication with our team to fulfill our commitment to high-quality support services.

- Assist in preparing and updating rosters for staff, ensuring adequate coverage and compliance with company policies.
- Respond to shift changes and fill last-minute gaps in the roster as needed.
- Communicate scheduling changes and updates to relevant team members.
- **2. Administrative Assistance**:_
- Assist with general office duties, including organizing meetings and managing supplies.
- Monitor inventory levels of office supplies and place orders as necessary to ensure smooth operations.
- **3. Staff and Client Communication**:_
- Act as a point of contact for staff regarding shift scheduling and administrative inquiries.
- Communicate effectively with team members to confirm shift availability and resolve any scheduling conflicts.
- **4. Compliance and Documentation**:_
- Ensure all rostering and documentation comply with company policies and industry regulations.
- Assist with onboarding documentation and any compliance requirements for new hires.
- **5. Billing and Invoicing Support**:_
- Assist with billing and invoicing tasks, including data entry, verifying charges, and coordinating with the finance team for accurate billing.
- **6. Document Management**:_
- Prepare, format, and proofread documents such as reports, memos, presentations, and correspondence.
- Distribute documents as needed to relevant parties.

- Assist in organizing and coordinating events, workshops, and training sessions for clients, support workers, and staff.
**Qualifications & Skills**
- Prior experience in an administrative or rostering role, preferably in the health or disability support sector.
- Strong organizational and time-management skills with the ability to manage multiple tasks.
- Excellent verbal and written communication skills.
- Proficient in office software (e.g., Microsoft Office), rostering systems (experience with ShiftCare is a plus) and google programs.
- A positive, flexible attitude with a commitment to supporting team operations.
- Ability to handle sensitive and confidential information with discretion.

Pay: $33.41 - $39.24 per hour
