Executive Assistant

We are seeking a highly organised and skilled Executive Assistant to provide support to the General Manager and the senior executive management team.
As an Executive Assistant, you will play a pivotal role in supporting two executives by efficiently managing their schedules, coordinating relationships with key stakeholders, and assisting in project delivery. This position demands excellent organisational skills and the ability to manage the complexities associated with the needs of multiple executives, ensuring they are optimally prepared and positioned for success.
**Key Accountabilities**:
- **Logistical Management**: Efficiently manage calendars and appointments, coordinating interactions with both internal and external business stakeholders.
- **Travel Support**: Provide logístical support for domestic and international travel arrangements.
- **Document and Information Management**: Manage data meticulously using tools such as SharePoint; assist in meeting preparations including agendas, catering, and minute taking.
- **Quality Assurance**: Support compliance with internal management systems, including document proofreading and review for accuracy.
- **Ad-hoc Project Support**: Assist executives and project managers in various tasks as needed to support project delivery.
**Desired Skills, Experience, and Attributes**:
- **Organisational Skills**: Exceptional ability to manage multiple tasks and projects without overlooking details.
- **Technical Savvy**: Advanced skills in Microsoft Office, especially Outlook and SharePoint. An interest in AI technology and project management software is desirable.
- **Stakeholder Engagement**: Excellent interpersonal skills with a proactive and polite approach to building positive relationships.
- **Team-Oriented**: Strong desire to work closely with and understand the executive team to tailor services effectively.
- **Confidentiality and Sensitivity**: Capable of managing sensitive information with high levels of discretion and diplomacy.
- **Project Background**: Experience or understanding of the consulting or engineering sector is highly advantageous.
- **Travel Management Expertise**: Proven ability to handle complex travel arrangements efficiently.
- **Adaptability**: Flexibility to adapt to the changing needs and schedules of executives, providing seamless support under pressure.
