Executive Support Officer

You will provide an effective liaison on behalf of the Executive Directors to businessareas across CITEC, the Office of the Deputy Director-General and other areas of the department and external stakeholders.
**Some of your responsibilities will include**: - Providing effective work practices to manage the executive and administrative activities of the Office of the Executive Directors, while seeking ways to improve office information and records systems in line with departmental policies, procedures and guidelines. Liaising with HR and payroll services to assist the management group with HRrelated administrative requirements. Undertaking a broad range of administrative tasks including, but not limited to, organising meetings and other events, arranging corporate travel, performing secretariat functions and managing shared mailboxes. Coordinating the direction and timely delivery of office correspondence including coordination and quality control of reports, plans, ministerial and executive briefs, ensuring high quality standards and alignment with departmental and government policies and style guides. Acting as the Executive Directors' primary point of contact, while maintaining tact and diplomacy in managing confidentiality of highly sensitive information. Providing support and guidance on business services processes and procedures including HR, finance and procurement to all staff. Establishing and maintaining productive working relationships with departmental, government and Ministerial staff to ensure resolution of issues and achieve quality work outcomes.
