**About the role**

This is a busy and varied role with connection to all departments across the Hotel. Your immaculate presentation, attention the detail, excellent communication skills and ability to liaise with guests will be the key to success in this role. You will be assisting the wider Reservations team with room inventory balancing. You will also support the Front Office team with group preparation and arrivals, perform check ins and check outs ensuring every guest experience is exceptional.

**Critical responsibilities**:

- Assign room according to guest request and preferences whenever possible
- Pre-register designated guests and prepare key packets
- Organize and coordinate check-in/pre-registration procedures for arriving groups.
- Review/Track/Accommodate requests for room/check-out changes when possible; communicate status to appropriate staff. Confirm reservations and cancellations.
- Review out-of-order rooms daily.
- Ensure rates match market codes and document exceptions.
- Verify and adjust billing for guests.
- File guest paperwork or documentation.
- Set up/process all guest check-ins/check-outs.
- Activate room keys.
- Secure valid payment. Identify any over-commitments.
- Perform duplicate reservation checks; block rooms.
- Run daily reports.
- Follow up with guests to ensure their requests or problems have been met to their satisfaction.
- Receive, record, and relay messages accurately, completely, and legibly.
- Excellent attention to detail & commitment to high standards - we are a Luxury hotel experience
- Previous experience in a front office or guest relations role is essential
- Passion for delivering warm and welcoming customer service & memorable guest experiences
- Amazing communication skills both on the phone & in person - you are a people’s person and this shines through
