Coburg Clinical Psychology is a boutique private practice in the heart of Coburg. We value a strong work ethic, honesty, respect for all genders and ethnicities, and a sense of humour. We have a team of 8 psychologists, operating from lovely consulting rooms. We are looking for an efficient, mature, reliable, enthusiastic and organised medical/health receptionist to join our team on a part-time basis. This is an ideal opportunity for someone with allied health (or medical) reception experience looking for an enjoyable role in a genuinely fun and friendly work environment.

**Key Duties**
- Conducting new client intake phone calls with warmth and care.
- Assisting new clients to choose a suitable therapist, answering their questions and completing the new client intake process; and triaging to other services where appropriate.
- Diary management: making client bookings, maintaining psychologist wait-lists, actively maximising clinician efficiency and rescheduling appointments.
- Taking client payments, processing Medicare/Private Health Insurance rebates, processing invoices for third party payments (such as TAC), and following up outstanding accounts.
- Managing payments to psychologists: running reports, receiving and processing contractor psychologists’ invoices.
- Responding promptly and professionally to psychologists’ administrative requests.
- Tidying, filing and general upkeep of the practice including ordering, receiving and stocking of office supplies.
- Dealing with sensitive and important client information efficiently, confidentially and effectively, whilst adhering to the appropriate legal and ethical guidelines regarding confidentiality and information security.
- Understanding the Medicare Benefits Schedule (MBS) and keeping abreast of changes.
- Completing clinic spreadsheets and pivot tables.

**Key Selection Criteria**
- Demonstrated experience (>1 year) in medical and/or allied health reception role.
- Strong administrative skills with exceptional attention to detail.
- Strong interpersonal and communication skills and emotional intelligence, and a sense of humour.
- Able to work productively within a team environment and ability to communicate with a diverse range of people whilst remaining professional and polite.
- Exceptional time management, organisation and problem-solving skills.
- Knowledge and experience of Medicare and Private Health Insurance claiming.
- The ability to take initiative and promptly complete tasks when working independently.

**Remuneration and Hours**

This is a permanent part time role (0.4EFT) job share with another receptionist. Our reception needs to be staffed at all times, so being able to covering sick days and holidays is a must. There is no weekend work involved in this role and the latest finish required is 6pm.
