- Full time, fixed-term role at Macquarie University, Wallumattagal Campus, North Ryde, until 31 December 2024.

THE ROLE

Our Student360 Program is seeking a Project Officer to provide operational support to the Program Manager, to drive efficient and effective program delivery ensuring successful program transformation outcomes across the University. The role is an excellent opportunity to work on a key program in Macquarie University’s Digital Transformation.

You will report directly to the Program Manager, Student360 Program and will play an important role in supporting the implementation of a new, consolidated, secure student CRM that will allow effective connection to successfully support students throughout their journey. The Student360 Program will deliver a student CRM (Salesforce) that will realise our ambitions for end-to-end student engagement and service delivery.

The role will:

- Support Program Manager, Student360 Program in ensuring the efficient, effective running and successful delivery of the Student360 Program.
- Collaborate with and support Project Managers in setting up, monitoring, and tracking dashboards for the analysis and reporting of project performance and progress.
- Undertake ongoing review of resource plans, supporting recruitment activities and staff onboarding for the Student360 Program.
- Supporting management and tracking of vendor contracts.
- Supporting identification and analysis of risks and issues and contributing to resolutions.
- Drafting and review of relevant artefacts relevant to project management delivery to support informed decision making and planning, including conducting analysis and research, processes and procedures to provide accurate, timely and informative project and project delivery status reporting and risk/issues management.
- Oversee the recruitment, procurement, and staff onboarding activities for the Student360 Program, ensuring compliance with the University's policies and procedures.
- Coordinate meetings between team members, suppliers, and other stakeholders as needed to ensure effective communication.
- Track, analyse and report on the program budget and expenditure.
- Collate information, draft, and prepare executive communications and presentations, as required, including for project steering committees and program boards, as well as capturing meeting minutes of key program governance forums.
- Engage with the relevant stakeholders to provide formal and informal communications regarding project status, issues and compliance as well as facilitate the exchange of information across working groups.
- Build and maintain collaborative relationships with key internal and external stakeholders.
- Manage and maintain the program wide document repository ensuring that all documents are stored in a logical and consistent manner so that they can be easily found in the future.
- Coordinate meetings between team members, clients, and other stakeholders as needed to ensure effective communication.

About You

You will be proactive, have good understanding of project management and risk management fundamentals, and a clear understanding of the overall requirements for coordination, integration of information in complex and large projects.

You will have excellent verbal and written communications skills with demonstrated ability to convey information effectively to a wide range of stakeholders.
