We have a highly engaged, diverse and collaborative workforce that is unified by our goal to help people live healthy and fulfilled lives- About the Freedom of Information Department and Corporate Records- The FOI and Corporate Records team is part of the broader Health Information Services department, which includes the Clinical Coding Service, Submissions Services, Corporate Records Service and Medical Record Services.- Medical Records is a busy 24-hour service that plays a crucial role in the management, organisation, and dissemination of health-related data and information. It is critical this information is available to the right people and teams to deliver care to our patients, support our clinicians and external care providers.- The Freedom of information teams ensures that Austin Health complies with legislation and the spirit of the FOI Act in making our information available to those who request it under the act.- Corporate records are responsible for managing our storage of paper records - both on site and off site - and to ensure that these are retained and destroyed according to relevant legislation and standards.- About the role- As a FOI / Corporate Records Clerk, you will be involved in responding to requests for information under the FOI act, both formal and informal requests. This can involve exporting information from our records systems, or compiling information from paper records. You will have the opportunity to interact with both internal departments, members of the public and authorised external parties.- You may also be involved in release of patient information to external healthcare providers in accordance with our release of information policy.- You will also facilitate in the retrieval of Corporate Records from our Archive storage facility at the Repat Campus, as well as ordering records and files from Grace Storage via their online Grace Portal.- You will also be required to reconcile the monthly Grace Invoice for ongoing storage costs, allocating charges to the appropriate cost centres.- Some travel to other campuses is also required.- A regular day will see you:
- Answering and assisting with incoming phone calls.
- Updating our FOI spreadsheet and keeping procedures up to date.
- Exporting information from our information systems.
- Liaising with other departments to meet FOI needs.
- Release of patient information via One Drive.
- Expediting subpoenas through Court Portals.
- Assisting with Corporate record administrative duties such as reconciling Grace Invoices or ordering files/boxes for respective external departments as required.
- Performing other related duties as required.
