Must be able to collaborate effectively with a variety of people, including but not limited to the Director, the Assistant Director, the Child Study administrative assistant, SJNY security and maintenance workers, the teachers and assistant teachers, related service providers, parents/guardians, and children.

Must have good computer skills, and be willing to learn new programs as they are introduced.

This is a 12 month position, Monday-Friday 8am-4pm, with occasional activities after 4pm or on weekends, such as staff development or fundraisers.

DUTIES

Include but are not limited to:
**Health and Safety Duties**:

- Maintaining the health records for all children and staff members.
- Maintaining the personnel records for all staff and related service providers.
- Monitor the physical exams for all children and staff members.
- Work with the Director and Assistant Director to maintain the State Clearance Registry file, PETS file and fingerprinting for all staff members.
- Maintain the DOH Comprehensive Background Checks for all staff members.
- Monitor the medical immunization requirements for all children and staff members.
- Complete the annual Immunization Survey for the DOH.
- Assist the Director and Assistant Director to check the children’s general health (e.g. through the daily temperature check), maintain children’s attendance on HiMama, check messages on HiMama, and maintain 4410 Attendance Book.
- Complete an annual dental assessment of children, and ensure that the dental assessment section of the health form has been completed by each family’s pediatrician or dentist.
- Assess children when teachers suspect that they are ill, contact parents, and provide temporary care while awaiting parent/guardian to pick up the child.
- Assess children when they get hurt, and provide medical attention. If necessary, contact parents and provide temporary care while awaiting parent/guardian to pick up the child.
- Monitor the completion of Incident Reports.
- Communicate with parents regarding medical updates, follow-ups of medical examinations, or immunizations.
- Monitor and maintain medical supplies.
- Arrange for annual First Aid or CPR classes for the staff, as well as other professional development, in conjunction with the Director and Assistant Director.
- Maintain paperwork for children who have allergies and require emergency medicine, such as epipens, antihistamine oral medication, and/or inhalers.
- Maintain non-student specific epipen from the DOH.

**Administrative Support Duties**:

- Provide administrative support to the Director and the Assistant Director.
- Assist teachers with their Aspire accounts, and maintain the school-wide Aspire account.
- Conduct fire, lockdown and evacuation drills, in conjunction with the Director and Assistant Director. Obtain Fire Safety Conductor certification.
- General office management duties include, but are not limited to: ordering, stocking and distributing office, food and medical supplies, handling the mail and packages, and coordinating maintenance of office equipment, such as the copiers and the laminator.
- Office activities such as answering the telephone and taking messages, organizing google docs, dropbox folders, photocopying, etc.
- Compile and submit RFDs, and maintain and distribute petty cash.
- Serve as a point of contact for Open Houses, tours and registration. Assist the Director and Assistant Director with the registration and enrollment process.
- Maintain TADS in conjunction with the Director and the Assistant Director. Perform tasks such as adding Emergency Contacts for children, creating and/or changing agreements for families, the annual update of TADS enrollment information, etc.
- Create and maintain Class Rosters.
- Add family information to HiMama before the school year starts, and do periodic upkeep, if necessary.
- Assist the Director and/or Assistant Director with annual reports, including but not limited to NPSIS, BEDS, CMR, SED and DOH reports.
- Assist with duties related to the 4410/SCIS classroom, such as NPSIS, EasyTrac, CMR Vendor Portal, the CFR, the IDEA grant, the yearly intake process, maintaining 4410 binders, contact with the bus company, collecting paperwork from the related service providers, etc.
- Assist the Director and Assistant Director with school decorations, the lobby display case, bulletin boards, etc.
- Assist the Director and Assistant Director with all fundraising activities, including if they are held on an evening or weekend.
- Assist the Director and Assistant Director to wash and fold the scrubs each day.
- Assist the Director and Assistant Director to maintain the cleanliness of the water dispenser, the microwave, the washing machine/dryer, and the refrigerators at the Dillon Center.
