The Practice Manager plays a critical role in the efficient operation of a healthcare practice, overseeing administrative, financial, and operational aspects to ensure the delivery of high-quality patient care. This position requires strong leadership, organizational skills, and a commitment to excellence in healthcare management.

Key Responsibilities:

- **Administrative Management**:

- Supervise and coordinate daily administrative activities, including appointment scheduling, patient registration, and medical records management.
- Ensure compliance with regulatory requirements, privacy laws, and practice policies and procedures.
- Oversee the development and implementation of efficient office workflows and protocols to optimize productivity and patient flow.
- **Financial Management**:

- Manage billing and revenue cycle processes, including insurance claims processing, patient billing, and accounts receivable management.
- Monitor financial performance, analyze revenue trends, and prepare budgets and financial reports for review by practice owners or stakeholders.
- Negotiate contracts with third-party payers, vendors, and suppliers to optimize reimbursement rates and reduce costs.
- **Human Resources Management**:

- Recruit, train, and supervise administrative staff, including front desk personnel, medical assistants, and billing specialists.
- Conduct performance evaluations, provide feedback, and implement professional development initiatives to enhance staff skills and competencies.
- Ensure compliance with employment laws, regulations, and workplace safety standards.
- **Facility and Resource Management**:

- Coordinate facility maintenance, repairs, and upgrades to ensure a safe and comfortable environment for patients and staff.
- Manage inventory and procurement of medical supplies, equipment, and office supplies, maintaining adequate stock levels and controlling costs.
- Implement policies and procedures for equipment usage, maintenance, and sterilization to uphold infection control standards.
- **Quality Improvement and Compliance**:

- Develop and monitor quality improvement initiatives to enhance patient satisfaction, clinical outcomes, and operational efficiency.
- Conduct regular audits and assessments to ensure adherence to quality standards, accreditation requirements, and best practices in healthcare delivery.
- Collaborate with clinical staff and providers to identify opportunities for process improvement and implement corrective actions as needed.
- **Patient Relations and Customer Service**:

- Foster a patient-centered culture focused on delivering exceptional service, compassion, and respect to patients and their families.
- Address patient inquiries, concerns, and complaints in a timely and professional manner, seeking resolution and promoting patient satisfaction.
- Implement patient engagement strategies, such as patient education programs, satisfaction surveys, and outreach initiatives to enhance the patient experience.
- **Strategic Planning and Business Development**:

- Assist in the development and execution of strategic plans, goals, and objectives for the practice, aligning with the mission and vision of the organization.
- Identify opportunities for growth, expansion, or diversification of services, conducting market analysis and feasibility studies as necessary.
- Establish relationships with referral sources, community organizations, and healthcare partners to promote collaboration and enhance the practice's reputation and market presence.

Qualifications and Requirements:

- Bachelor's degree in healthcare administration, business management, or a related field; Master's degree preferred.
- Proven experience in healthcare management, preferably in a primary care or ambulatory care setting.
- Strong leadership, communication, and interpersonal skills.
- Knowledge of healthcare regulations, compliance requirements, and accreditation standards.
- Ability to multitask, prioritize workload, and problem-solve effectively in a fast-paced environment.
- Commitment to patient-centered care, quality improvement, and continuous learning and development.

**Job Types**: Part-time, Casual

**Salary**: $55,000.00 - $70,000.00 per year

Expected hours: 16 - 32 per week
