About the role

As a Clinical Services Administration Officer, you will provide administration support to medical and scientific staff within the Pathology and Clinical Governance division. Your daily tasks will include performing NBMS functions, managing special component donor lists and booking appointments, escalating issues to relevant medical staff as required, preparing documentation such as donor correspondence, memos, reports, policies and procedures, taking phone calls via our national phone line and recording and distributing minutes of meetings in a timely manner while keeping internal and external stakeholders at the forefront when offering exceptional customer service.

Demonstrated experience in working within a team to provide effective office administration support including in area/s of specific procedural requirements

Demonstrated attention to detail and accuracy in the production of documents and maintenance of statistics

Demonstrated understanding and experience in maintaining confidentiality and discretion at all times

Demonstrated ability to take direction and flexibly manage demands when working across different areas within the team

Demonstrated experience in meeting or exceeding work unit key performance indicators such as compliance with office procedures; completion of work within specified timelines; maintenance and updating of comprehensive databases; timely completion of all assigned duties including filing and scanning; production of letters; coordinating and completing meeting agendas and minutes; telephone reception; and mandatory training

Demonstrated experience in adapting to changes in administrative procedures and systems

This is a fixed term role working full time until April 2025. You will have the opportunity to work both from our Head Offices in Perth located on Wellington Street and from home.
