The Role
You will be supporting one Executive Manager, along with supporting various Executive Managers when needed. This will give you access to a wide range of projects that the Executive Managers are working on and a chance to have exposure to these projects. This role is unique within Tech & Ops / Business Support Service that it will give the Assistant exposure to wide range of T&O teams for accelerated career development opportunities. The Personal Assistant will have access to the stability of a familiar team to connect with and new teams where they can be included in new/different conversations and learnings.
For your role to make a difference, you will be well organised, flexible, thorough and self-motivated, have the ability to work with mínimal supervision, exhibit expert levels of written and verbal communication skills and demonstrate continuous attention to detail. Overall, the role is accountable for building strong relationships within the immediate team, across the broader IAG business, and with External Stakeholders.
The role location is a hybrid between the office and home however the expectation is that you work from the office 2-3 days per week. In the current climate, the role will be WFH until further notice.
**Key Responsibilities**:
Coordinate and manage travel arrangements for the Executive Managers where required.
Assist Executive Managers to maintain relevant files and documentation where required.
Manage the preparation, collation and distribution of reports and presentations where required.
Process all Executive Managers credit card expenses and invoices in a timely manner.
Assist with recruitment, onboarding and offboarding for the Executive Managers leadership team where required.
Manage delegated authority/approvals at Executive Managers discretion.
Site specific facilities management where required.
Skills & Experience
Minimum 2-3 years’ experience in an Assistant role.
Strong computer literacy is essential in Microsoft Outlook, Word, PowerPoint, Excel.
Experience working with SharePoint, Confluence and JIRA advantageous.
Organised, proactive and professional with an ability to both multitask and work autonomously.
Attention to detail, self-awareness and discretion.
Understanding of working in a commercially sensitive environment.
