**Your new company**
Your new organisation is a renowned, big Property Firm of Australia. Their beautiful office is based in the heart of CBD, Sydney. They are looking for a switched-on, committed Admin Assistant to support their valuation team in reporting and administrative duties.
**Your new role**
As an Admin you would provide support in
- Working within a customised database:
- Create quotes as required (details provided by Director/valuer);
- Formatting valuation reports and written templates utilising MS Word, also importing graphs/charts/tables etc., from Excel; Entering jobs into the database.
- Generating invoices as required; Updating client details as required.
- Creating electronic job files:
- Presentation of completed reports/correspondence
- Preparing annexures including photocopying, importing photographs and maps; Undertake property searches
- Supporting the other admin staff, Executive Assistants and Directors as required.
- Assisting with the smooth running of team meetings and ensuring that team reports have been circulated prior to the meeting
- To liaise effectively and efficiently with group finance, monitor and manage office expenses
- High level of operation of the clientele job management and invoice management system, including following up outstanding invoices
- Developing and producing internal finance reporting
- Analysing weekly statistics report and end of month report and provide effective reporting and analysis
- To undertake Administration functions effectively to assist in the smooth running of the office.
- Answering telephones in a prompt and professional manner
- Coordinate couriers as requested
- Maintenance of company client lists and individual valuer client lists.
- Undertaking ad-hoc administrative work to ensure efficient workflow and timely turn around
- Organise functions (with assistance from administration staff)
- Purchase of equipment, furniture and fittings as and when required.
- Assisting the Managing Director/ Directors as requested
- Kitchen area/meeting rooms - tidiness and general maintenance
- General office - ensuring common areas are tidy
- Ensuring that the team is practising the “Clean Desk, Clear Screen” policy and assisting with general desk tidy-ups where required.
- Archiving of older job files and arranging off-site storage; and Retrieval of files from offsite facility.
**What you'll need to succeed**
- Experience as an admin in the property firm preferred
- Strong report writing and document formatting skills
- Strong stakeholder management skills
- Strong Microsoft Excel and Word skills
- High attention to detail
- Excellent written and communication skills in English
- Strong problem-solving skills.
