**We are currently looking for an experienced Project Administrator/Coordinator to provide essential support to project operations in our Rail & Transport team based in the Pilbara region of Western Australia, WA.**

This role is a fly in fly out position on a roster of 14 days onsite followed by 7 days of rest and recreation leave.

**Key Responsibilities**:

- Manage travel and accommodation arrangements for project staff, workforce and some subcontractor employees utilising client booking and site access systems.
- Collate workforce timesheets and work with the John Holland payroll team to ensure employees are paid the correct hours per roster cycle.
- Managing and maintaining project records, ensuring that information is accurate, up-to-date and stored
- Composing status reports relevant to the project's operations, including invoices processed
- Coordinating, tracking, and analysing the purchasing of goods
- Processing invoices, purchase orders, expense claims, maintaining stationary budget, and processing timesheets
- Maintaining project asset registers, as required, and docket registers, assessing and processing schedule of rates claims
- Communicating and liaising with clients, external vendors, subcontractors, and community stakeholders for administrative purposes
- Assisting with month-end financials, such as preparation of accruals and collation of supporting documentation for the auditor
- Taking care of the office workspace, mail, and office equipment if required
- Performing all duties in accordance with John Holland policies, processes, reporting, systems, and procedures

**To be successful you will have**:

- A minimum of 3 years in a Project Administration role
- Strong communication skills both verbal and written
- Basic level of system and data entry skills
- Ability to organise and coordinate and to prioritise urgent tasks Previous experience in a FIFO/DIDO position is beneficial
