**The key responsibilities and duties**:
**Assistant to Managing Director**
- Manage schedule
- Prepare meetings, business trips, etc. (coordination with counterparts, document preparation, itinerary creation, and arrangements)

**Reception**
- Office reception, telephone handling, receiving and assisting visitors (providing drinks, tidying up glasses and cups)
- Arrange travel (transportation, hotels, dining venues, etc.) for visitors and employees
- Manage corporate hotel rates, restaurant reservations, and conference venue databases

**General Affairs**
- Assist Director of Accounting & Administration with administrative tasks (human resources, IT, document management, internal controls, etc.)
- Order and manage inventory of office supplies, stationery, and pantry items
- Manage contact list for external business partners, government agencies, etc.
- Communicate and coordinate with various internal and external organisation
- Manage subscriptions and membership for general newspapers, industry publications, and affiliated organizations

**Research and Communication**
- Gather, analyze, and disseminate information on general economic and political conditions for headquarters
- Attend external seminars and workshops

**Other**
- Carry out ad-hoc tasks under the guidance of Managing Director or Director of Accounting & Administration, as determined by experience, skills, and company situation

**Profile**

**In order to be considered for this role you will have the following key attributes, skills and strengths**:

- At least 2-3 years' prior experience in a senior secretarial or administrative role
- Advanced MS Office - (PowerPoint, word, excel)
- Outstanding decision making ability in the fast paced working environment
- Excellent interpersonal and communication skills
- Excellent organisational and time management skills
- Accuracy and attention to detail
- Native level of Japanese and advanced level of English
