Description
As the Office Experience Manager, you will play a pivotal role in shaping the work environment to be a thriving and positive space for all employees. From managing daily facilities operations to orchestrating engaging events, you will contribute to a workplace culture that fosters collaboration, innovation, and employee well-being.
Key Responsibilities

**In-Office Events**:
Plan, execute and coordinate a variety of in-office events, such as team-building activities, workshops, celebrations, and updates

Collaborate with department heads to understand their team's needs and preferences for events.

**Reception**:
Manage the reception area to provide a warm and professional welcome to visitors and guests.

Coordinate visitor access, sign-ins, and pass distribution for a seamless experience.

**Social/Wellbeing Events and Coordination**:
Coordinate social and well-being initiatives to enhance employee satisfaction and work-life balance.

Coordinate wellness programs, mindfulness sessions, and other activities that contribute to a positive workplace culture.

Coordinate social groups and activities across multiple office locations.

**Office Management**:
Oversee day-to-day operations, including office supplies, equipment maintenance, mail, couriers, and cleanliness.

Continuously assess and optimize the workspace for efficiency and employee comfort.

Manage meeting rooms, booking system and help facilitate IT equipment.

Co-ordinate catering, supply, and vendor delivery.

Expense processing and invoice co-ordination.

**Onboarding New Starters**:
Facilitate the onboarding process for new employees, ensuring a smooth and welcoming experience.

Provide support and resources to help new hires integrate into the company culture.

**Health & Safety Coordination**:
Ensure compliance with health and safety regulations, conducting regular risk assessments.

Coordinate emergency response plans and drills, keeping employees informed and prepared.

**Workspace Design and Optimization**:
Collaborate with leadership to design and optimize workspaces for productivity and collaboration.

Implement ergonomic solutions to enhance employee well-being.

**Employee Engagement**:
Develop and implement strategies to boost employee engagement and satisfaction.

Gather feedback through surveys and regular communication to continually improve the office experience.

**Visitor Experience**:
Ensure a positive experience for visitors, managing meeting room scheduling and catering services.

Address visitor needs promptly and professionally.

**Technology Integration**:
Stay informed about the latest office technologies and recommend solutions for improved efficiency.

Collaborate with the IT department to address technology-related issues in the office.

**Global Team Collaboration**:
In partnership with the People & Culture Team, support global office experience collaboration to build a great employee experience through a meaningful employee engagement events.

Coordinate with other regional office experience coordinators to align on initiatives, meetings, and events to foster engagement.

Collaborate with People, IT, Finance, and other relevant departments to ensure alignment of regional office operations with company policies and goals.

Skills, Knowledge and Expertise

Bachelor’s degree in business administration, Facilities Management, or proven experience in office management, facilities management, or a related role.

Strong organizational and multitasking skills.

Excellent interpersonal and communication skills.

Knowledge of health and safety regulations and best practices.
