A competent and experienced
**Office Manager** needed for a rapidly growing financial organisation to manage their 5 offices, 2 in Sydney and 3 in Melbourne. It is an exciting role for someone who is looking for big responsibilities and growth in their career and have experience in office management along with office relocation. The job would involve travel to national offices when needed. Only Permanent Residents and Citizens to apply.

**Your new company**

Well established financial organisation with over 500 staff based in Sydney across 2 offices and some more in Melbourne. The organisation is rapidly expanding and acquiring new businesses so offers potential for growth and inclusive and diverse environment.

**Your new role**

The role
**reports to the COO** and is responsible for the following:

- Develop and implement effective strategies to manage **office operations **and ensure the smooth running of day-to-day activities.
- Develop a national approach to **procurement.**:

- Oversee the approval of **invoices** and **other bills **to ensure accuracy and timelines
- Overseeing and agreeing **contracts **and providers for services including security, parking, cleaning, catering, technology.
- Supervising multidisciplinary teams of staff including cleaning, maintenance, and security.
- Ensuring that basic facilities, such as water and heating, are well-maintained
- Managing **budgets **and ensuring cost-effectiveness.
- Ensuring that facilities meet government regulations and environmental, health and security standards.
- Advising businesses on increasing energy efficiency and cost-effectiveness
- Overseeing **building projects**, renovations, or refurbishments
- Helping **businesses to relocate **to new offices and to make decisions about leasing
- Drafting **reports** and making written recommendations
- Oversee the planning and coordination of **office events**, such as staff parties and celebrations and ensure consistency across the office locations
- Manage **office supplies**, **plant hire and maintenance**, mobile account, electrical maintenance, and filtered tap maintenance
- Oversee the administration of **access cards/codes, lease document** review to ensure compliance with company policies and regulations
- Collaborate with **building management and contractors** to resolve any operational issues and maintain a positive working relationship
- Maintain **asset registers** and manage **travel company** to ensure efficient **resource allocati**on** and **cost management**:

- Committee member of the **Work Health & Safety Forum** with responsibility for ensuring offices nationally comply with work health & safety regulations
- Enforce travel policy
- Management of two **Office Assistants** in Sydney and an Office Assistant located on the Gold Coast
- ** Travel **to national office when needed

**What you'll need to succeed**
- Experience in a similar role supporting senior Executives and liaising with Board of Directors
- Experience working in multi-site locations and in office relocation
- Project management skills
- Ability to build strong working relationships built on trust and respect
- Ability to articulate and persuasively present critical arguments
- Manage self and others to meet deadline
- Flexibility in approach to deliver tasks requiring multiple stakeholder inputs
- Establish, review, or streamline existing ways of working to support appropriate rigour of review and ensure high quality decisions can be made quickly by the appropriate audience
- Strong written and verbal communication skills, including capability in MS Office technology
