**About the Company**

Our client is well established supplier, designer and manufacturer of Office Furniture with a focus on quality, innovative design and customer service. Catering for both small and large organisations, our clients’ projects can range from 5K to 500K + supplying office furniture from either an extensive in-house range through to custom design and build. Their client base covers all industry sectors including large corporate entities, executive, government, retail, health, mining and small to medium business.

Due to an increase in business activity, our clients very busy Managing Director is seeking an experienced Personal Assistant to provide organisational and administrative support in his daily activities.

**About the Role**

The General Manager works across all departments within the organisation which include;
- **Operations**:

- **Projects**:

- **Sales**:

- **Procurement**:

- **Finance**:

- **Human Resources**

This is a classic PA role where the Managing Director is currently swamped with his daily work load and needs assistance in managing and organising his daily activities as well as taking on and completing administrative tasks and responsibilities that will free up his time.

It goes without saying that the PA will be exposed to sensitive information, so maintaining a high level of confidentiality and discretion is crucial in this role.

The main responsibilities of the PA will include;
- **Diary Management - Scheduling & Coordinating Meetings, Appointments, Events and Tasks**:

- **Phone Communications - Answering GM’s Direct Line or Mobile, Assessing & Prioritizing the Call & Managing the Call if Possible**:

- **Draft Communications to near completion so the MD can quickly review, edit & complete**:

- **Assist in the development or improvement of administrative systems and procedures**:

- **Meetings - Requesting Attendees, Drafting Agendas, Document Preparation, Taking Minutes of Meetings, Diarizing Tasks & Deadlines that have been assigned to the MD and In-House Team Members & following up on progress or completion**:

- **Projects - Assessing future installation jobs such as Office Plans, Entry / Access, Stock Availability & Location & ensuring the Installation will not have any issues**:

- **Projects - Assist in Coordinating or Troubleshooting existing or scheduled projects**:

- **Research - New Technology that maybe beneficial to business, Industry News, Companies (Potential Clients) & Everything in between**:

- **Preparing Documentation & Reports that require review or sign off**:

- **Summarizing complex data, documentation & reports so GM can quickly review & assess**:

- **Requesting information from numerous in-house departments**

Other duties of this role will be more challenging where you will draw on your numerous business administration skills as well as your initiative and problem solving skills to effectively carry out your responsibilities.

An example of this would be in assisting the MD for a short notice / emergency project for an installation job on a mine site where the PA would need to contact the client to get a detailed process for onboarding the installers to site where inductions, medicals, flights and accommodation would need to be scheduled and completed by a certain date.

You will have at least 2 years experience as an PA or EA on a corporate level, where you will consider yourself an all-rounder with specialized qualities and skills in business administration and associated fields.

The “Business Administration” skills required for this role include.
- **Have advanced Microsoft Word, Excel, Outlook and PowerPoint**:

- **Have exceptional organizational skills with the ability to multi tasks and prioritize work effectively and efficiently**:

- **Have confidence in interacting with a wide range of people from senior management through to team members**:

- **Be a very effective communicator that displays a high level of professionalism**:

- **Have a comprehensive knowledge of office procedures and processes**

**Remuneration**

This is a permanent role and depending on key factors such as experience and qualifications the salary range will be between;
- **$70,000.00 to $80,000.00**:
