Embedded in our studios are members of the global Hassell Finance team, who help to partner with local leadership to deliver our projects with the best financial outcomes available. With talented team members integrated across the business, the team keeps Hassell running smoothly through partnerships with our studio Business Support teams.
**Job Description** About the role**
Based in either our **Perth or Melbourne Studio**, we are looking for an experienced Finance Assistant to join our team. Guided by the Studio accountants and Group Finance team, you will help to ensure the accurate and timely entry of vendor invoices into the Accounts Payable ledger of the finance system, as well as assist with timesheet & Project Code administration in both our Australia and international business, which all use the same centralised accounting system (Microsoft D356). This role will be reporting to Studio Accountant & Group Finance Team.
Whilst this will have an initial focus on our Perth studio, as a full time role, it will include supporting other studios where assistance is required in both our Australian and in our overseas locations.
- Processing creditor invoices, ensuring correct approval authority is followed;
- Process and review employee expense claims in our expense management system;
- Process Corporate Amex and taxi accounts, where relevant for assigned locations;
- Set-up weekly payment runs for approval;
- Run ad-hoc creditor reports as required to review and verify vendor and project postings;
- Reconcile vendor account balances as required;
- Correspond with and attend to queries from creditors;
- Keeping creditor account details up to date in D365;
- Help assist with timely completion of studio timesheets (weekly studio reminders);
- Help provide project access requests for timesheets;
- Assist with project code set-up in D365;
**Qualifications** About you**
You have a minimum of 3 years’ experience in a similar role. Completion of a Certificate in Business Studies, Finance or Accounting is an advantage. You have demonstrated ability to work autonomously and perform duties under limited supervision with excellent attention to detail and time management skills.
You prioritise quality over quantity and can problem solve and work as a team to achieve a positive outcome / solution.
Ideally you have also worked in construction / design industry or professional services organisation that has had exposure to timesheet and projects and had exposure to working in currencies other than A$, however this is not essential.
You will have also used a medium to large ERP accounting and reporting systems (Hassell currently uses Dynamics365). You have intermediate Excel skills and are familiar and comfortable with the Microsoft family of products (Word, Outlook, Teams etc.).
You are self-motivated, able to work within tight deadlines, taking pride and ownership in work you deliver and consistently striving for excellence / improvement.
