Personal Assistant to Vice President Governmental Helicopters and Airbus Chief Representative

About the role
This role reports to VP of Governmental Helicopters at Airbus Australia Pacific and supports Airbus executives including the Airbus Chief Representative and his/her Office. The position is at a high level within the Airbus business and is required to be confidential, responsive and efficient, in order to contribute to business success.
Governmental Helicopters
This business activity is focussed on Federal and State Government customers and related stakeholders, in Australia and New Zealand.
You will provide support to the Airbus interactions with Customers and officials, visit coordination, diary and travel management. Support includes assisting finance activities such as budget coordination, claim processing, and the administration of sponsorships, donations and memberships. Typical products to be prepared by the Personal Assistant include presentations, meeting agendas and minutes of meetings. The Personal Assistant will liaise with and be assisted by Airbus support functions.
Airbus Chief Representative
The Personal Assistant is responsible for providing high level administrative support with complex diary and travel management, coordination of meetings with stakeholders within Government Departments, foreign missions and high-profile corporate sectors. The role supports the Chief Representative in the coordination of speaking engagements. The role interacts with Airbus regional and international head offices, concerning official visits, meetings and budget preparations.
Being located in Canberra, the Personal Assistant is responsible for working level relationships with Diplomatic and Government Department office staff as directed. This supports Airbus engagement and business success.
Office Manager (Canberra Office)
The Personal Assistant's role also includes office management for the Canberra Office. This includes day to day management of the office with safety, security and efficiency objectives. The Assistant acts as a point of contact with the landlord, as well as processing requests for parking and office passes and processing invoices and organising catering for Canberra office meetings as required.
About you
To be successful in this role, you will need well strong interpersonal skills as well as good verbal and written communications. You will need to be a positive and switched on individual who is able to work autonomously and to tight deadlines and work comfortably in a continuous improvement work environment. We are looking for someone who can hit the ground running, and who is able to be reactive on an occasional and irregular basis out of hours.
The skills and experience best suited to this role would include:

- Experience as a personal assistant role or equivalent, preferably at a senior level, with an understanding of office protocols in a corporate environment. Experience within a large organisation would be beneficial.
- Experience with booking and coordinating complex international and domestic travel
- Excellent attention to detail with a high level of computer literacy
- Superior time management and organisational skills, with the ability to work under pressure and achieve deadlines in an environment of competing priorities
- Ability to build and maintain business relationships.
- Proven initiative and an ability to maintain confidentiality, along with a positive and friendly attitude

Applicants must be eligible for an Australian Government Security Clearance and have the capacity to satisfy pre-employment medical screening which may include drug and alcohol testing.
