**About the Role**

**This is a 2 Year Fixed Term role**

The Records Support Officer role within the Records Management Support team provides support to DTP staff for records or record system related inquiries. Records officers can also be responsible for the creation, storage, retrieval, and disposal of all recorded information about an organisation's activities. Information can come in many formats, such as digital, photographic, film or paper.

**Position Outcomes / Accountabilities**
- Provide clear and accurate records management information, advice, and support, that promotes good records management practice across DTP and identifies where process improvement could be made.
- Use and provide basic support for digital records management tools, including Content Manager and SharePoint, building on knowledge and skills where necessary.
- Ensure support requests from customers/stakeholders are logged and are responded to within required timeframes.
- Build and maintain effective relationships with key internal and external stakeholders.
- Provide a range of operational services and support for records management, archives, and records processes.
- Maintain and manage hardcopy and electronic records, preparing accurate reports and recommendations for consideration.
- Work collaboratively as a team member, contributing solutions to problems and implement changes to existing work practices that result in business improvements for the work area
- Interprets freedom of information, archives and records and privacy legislation as it governs access to information.
- Escalates complex issues to team leader/level 2 support team.
- Logs and responds with information about inquiries, issues, complaints, and compliments via our service systems.

**_Key Selection Criteria_**

In addition, you will be:

- Able to resolve issues through deep understanding or interpretation of existing guidelines. Where guidelines are not available, analyses ideas available and acts through self, or in consultation with others to resolve problems.
- Capable of understanding customer requirements and how work addresses customer needs;
- Understands the purpose of policies; Uses operational policies to guide their work;
- Able to organises information in a logical sequence; Includes content appropriate to the purpose and audience.

**Qualifications and Experience**

**Desirable**
- Experience working with records management systems.
- Strong computer literacy - you will be required to use and provide basic support and advice on various systems including Content Manager and SharePoint.
- Awareness of relevant legislation and Public Record Office Victoria (PROV) standards and guidelines

The successful applicant will be required to work in a flexible work environment, in-line with the VPS flexible work policy. You may need to work at other locations on occasion, which may include other metropolitan or regional DTP offices, secondary records storage facilities and Public Record Office Victoria.
