Assists with the establishment and administration of a range of medium/low risk contract types for major infrastructure projects and provides ongoing financial support to these contracts. The position also provides guidance on contract administration and procurement issues for projects.
**Core Duties & Responsibilities**
**Contract Administration**
- Assists and provides advice to Project Managers and Contract Managers for the day to day contract management functions.
- Prepares all necessary documentation relating to contract administration.
- Maintains contract documentation and administration systems to ensure a full and complete record of all contract information, including contract claims, contract variations, extensions of time and financial information.
- Prepares, processes and participates in and advises on the assessment of contract variations in accordance with the contract and procurement procedures.
- Provides information and advice in relation to contractor performance and the administration of contracts to ensure risks are managed and successful outcomes maximised.
- Evaluates requests for contract price reviews, assists with negotiations with the contractor for an agreed price variation and prepares the appropriate contract variation documentation.
- Provides input to regular reporting for each project and Divisional control monitoring.
- Assists in the administration of the contract completion processes.
**Procurement**
- Liaises with Project Managers and Contract Managers in the planning of procurement requirements.
- Provides guidance and advice for procurement processes in accordance with Government Policies and PTA procedures.
- Completes necessary initial procurement documentation and arranges approvals;
- Liaises with and assists the Project Controls Section Procurement team for seeking quotations/tenders.
**Financial Support**
- Assists in the preparation of budgets and monitors the financial performance of contracts to provide advice to and reports Project Management.
- Assists with the development and review of contract documentation including facilitating contract variations and extensions.
- Verifies contractor’s invoices are in accordance with the terms of the contract and makes recommendations to Contract Managers for the payment of invoices..
- Liaise with Contract Managers to prepare monthly accruals and update contract cashflow forecasts.
**Core Competencies**
- Demonstrated experience in the management and procurement processes for low level low risk contracts.
- Demonstrated knowledge and/or experience of government contracting and procurement policies and procedures.
- Demonstrated knowledge and understanding of accounting principles and practices.
**_Current National Police Clearance will be required_**
