In this role you will provide coordination and professional, comprehensive and timely executive support to the Director-General and the Senior Director. This includes developing, coordinating, managing and maintaining systems and processes that ensure the efficient and effective flow of information, material and requests to and from the Director-General.

As The Senior Executive Officer You Will

  • Develop, maintain and improve administrative and executive systems that support the Director-General and Senior Director in a fast-paced, high volume and highly sensitive working environment, the management of the Director-General's inbox, including the ODG public facing inbox, OneNote and diary as well as overseeing the organisation of meetings, meeting coordination, conferences and events.
  • Liaise, work closely and manage the fostering of positive relationships with Ministerial staff, departmental executives, other Offices of the Directors-General, key external stakeholders and other team members as appropriate, whilst ensuring effective integration, coordination and liaison occurs.
  • Provide timely coordination, advisory and quality control services on the drafting, preparation and distribution of meeting agendas, papers, correspondence, confidential briefs and associated activities involving the Director-General, including other executive support for the Director-General.
  • Coordinate and manage the preparation of briefing material for consideration by the Director-General as required, as well as the flow of information between the department and other departments in relation to cross-agency meetings.
  • Identify and effectively manage and resolve risks and issues.
  • Contribute at a high-level to a culture of client service, excellence and continuous improvement.
  • Assist and lead the delivery and coordination of other business management functions and projects as required, for example, travel management and assistance to other teams within the ODG including use of corporate card for purchases on behalf of the office.
  • Support, mentor, guide and delegate tasks as required to the AO5 Executive Officer within ODG and act as an initial escalation point, whilst fostering a positive and inclusive team culture.
  • Manage and monitor ad hoc projects/tasks as directed by the Director-General and Senior Director, including the management of internal registers.
