Where this role fits inThe Workplace Coordinator sits within The Finance and Business Services team, also known as FaBS, which is the engine room of REA Group. This team comprises Finance, Risk & Assurance, Workplace Experience & Procurement, Investor Relations, Corporate Development, and Corporate Communications.
In the Workplace team, our staff are our customers, and we look after them. We support our people, giving them a pleasant and safe working experience in the office and at home. We're onsite, front-of-house, and always ready to lend a hand.
While we need someone to be at our front desk, this role isn't just about answering phones and greeting people with a smile. It's about continually improving the office environment, looking after the space and culture, and creating a workspace everyone can be proud of.
About the role
- SUPPORT THE WORKPLACE MANAGER OF OUR NATIONAL SITES ACROSS AUSTRALIA THROUGH THE RESOLUTION OF DAY-TO-DAY OPERATIONAL ISSUES RAISED BY INTERNAL STAKEHOLDERS AND SUPPLIERS.
- MANAGE INCOMING / OUTGOING CALLS, EMAILS, SLACKS, AND IN-PERSON ENQUIRIES.
- ATTEND WEEKLY 1:1 WITH MANAGER AND PARTICIPATE ACTIVELY IN TEAM AND DEPARTMENT MEETINGS AS REQUIRED.
- MONITOR AND ACTION PWE TICKETS RELATED TO OFFICE COORDINATION.
- ASSIST ON RECEPTION WHERE NEEDED.
- ASSIST THE WHS COMMITTEE GROUP TO IMPLEMENT WORKPLACE SAFETY PROGRAMS AND INFORMATION IN AND AROUND THE OFFICE.
- ASSIST THE SUSTAINABILITY TEAM TO IMPLEMENT SUSTAINABLE MEASURES IN AND AROUND THE OFFICE.
- ASSIST THE PEOPLE SERVICES TEAM TO IMPLEMENT PARKING, BENEFITS, NEW STARTER, AND DEPARTURES POLICIES.
- ASSIST ENTERPRISE TECH SUPPORT TEAM TO ENSURE OFFICE AND STAFF TECH IS WORKING OPTIMALLY.
- ACT AS BOTH AN REA FIRST AIDER OR WARDEN WITH TRAINING PROVIDED BY REA.
- ASSIST IN MOVING LIGHT FURNITURE AND BOXES (HEAVY LIFTING IS OUTSOURCED).
- PROCESS INVOICES AND KEEP TO TEAM APPROVED BUDGET.
- COORDINATE REACTIVE, SCHEDULED, AND PREVENTATIVE MAINTENANCE FOR ALL ASSETS AND BUILDING FACILITIES ACROSS AUSTRALIA.
- MANAGE ON-SITE TRADE CONTRACTORS AND SUPPLIERS, INCLUDING SITE INDUCTION TO ENSURE OHS COMPLIANCE AND FACILITATE ALL SITE AND BUILDING ACCESS.
- MANAGE ALL BUILDING AND EQUIPMENT MAINTENANCE REQUESTS ACROSS ALL MANAGED SITES AND MONITOR ALL WORKS ORDERS UNTIL COMPLETE.
- MAINTAIN ASSET REGISTER FOR ALL COMPANY FIXED ASSETS (FURNITURE AND FITTINGS) AND ASSOCIATED ANNUAL REPORTING AND WRITE-OFFS.
- PERFORM WEEKLY WORKPLACE INSPECTIONS ACROSS ALL FLOORS IN OUR MELBOURNE HEAD OFFICE, FOCUSED ON WHS, WORKPLACE HAZARDS, THE WORKING ENVIRONMENT, AND CLEANING SERVICES.
- PERFORM QUARTERLY WORKPLACE INSPECTIONS IN OFFICES OUTSIDE OF MELBOURNE.
- ASSIST WITH WORKPLACE EVENTS – ROOM SET UPS/PACK DOWNS, MOVING FURNITURE, VISUAL DISPLAYS, DELIVERIES, LOADING DOCK ACCESS, FACILITATING ADDITIONAL CLEANING OR ANY BUILDING FACILITIES REQUEST.
- COORDINATE EMERGENCY MANAGEMENT AND TRAINING (FIRE SERVICES, EVAC SYSTEMS, EMERGENCY WARDENS) ON A NATIONAL LEVEL.
- ASSIST THE WORKPLACE EXPERIENCE MANAGER WITH COMPANY FIT OUT AND REFURBISHMENT PROJECTS OR ANY OTHER PROPERTY WORKS AS REQUIRED.
- COMMUNICATE WORKPLACE INITIATIVES AND UPDATES ACROSS THE BUSINESS VIA SLACK, INTRANET, AND EMAIL WHERE REQUIRED.
- ASSIST IN MAINTAINING THE TEAM INTRANET PAGES – PROVIDING UPDATES AND INFORMATION TO INTERNAL STAFF.
- SUPPORT STAFF WITH BAU AND AH-HOC OFFICE OPERATIONS, IN THE OFFICE AND AT HOME.
- CONDUCT OFFICE AUDITS FOR GENERAL HOUSEKEEPING AND CLEANING. ATTEND MONTHLY CLEANING MEETINGS TO DISCUSS SUPPLIER PERFORMANCE AND TRACK ANY ISSUES.
- ATTEND AND ASSIST QUARTERLY BUILDING MANAGEMENT MEETINGS WITH LANDLORD/BUILDING MANAGERS NATIONALLY WITH WORKPLACE EXPERIENCE MANAGER.
