The Conference & Events Coordinator provides professional, courteous and helpful service to clients ensuring that their expectations are anticipated and exceeded with a primary focus on driving conversion, generating incremental revenue and prospecting for new business. This position works closely with internal stakeholders from other hotel departments to ensure events are planned and executed professionally and efficiently.

Responsibilities
  • Respond to clients' event enquiries through all platforms, following the EVT sales flow to completely understand the clients' needs, budgets and expectations. Ensure you put your best quote forward to secure the business across events, restaurant reservations, group accommodation & everything in between.
  • Utilise sales & reservations systems, ensuring all CRM data is accurate and the entries are reflective of business source and channel. Make sure sales activity and tasks are accurately recorded and managed.
  • Support the sales department with pro-active business hunting, prospecting for potential leads through data, recommendations & sales calls.
  • Lead with your best foot forward, hosting site inspections that wow our guests and seal the deal for decision makers.
  • Carefully prepare banquet event orders that cover every aspect of the client's event, ensuring that no detail goes un-noted and event staff have all the information they need for an un-faulted experience.
  • Work closely with back of house teams on event coordination, menus and room set up requirements, to host best-in-market events.
  • Ensure presence on site for special events as event coordinator or at the direction of the Director of Sales or General Manager.
  • Ensure post event follow up is treated with as much care as pre-event planning.
  • Attend all scheduled meetings and prepare regular accurate reports as directed by the Conference Sales Manager, Director of Sales or General Manager or ad hoc as needed.
  • Participate in scheduled training and development programs, benefiting both yourself and the development of our business.
  • Be a Brand Ambassador for the hotel and Event Hospitality and Entertainment.
  • Give assistance and support to other departments and/or colleagues when needed.
  • Attention to detail at all times.
  • Client-focused, providing efficient, friendly and professional service to all guests.
  • Work together with trust and treat all guests and colleagues from all cultural groups with respect.
