Overview

We are seeking a proactive and detail-oriented Training and Systems Coordinator to join the team on a 12-month fixed-term contract to cover maternity leave. This role supports onboarding new starters, maintains training content, facilitates company-wide training initiatives, and coordinates system-related communications. You will work with managers, technology teams, and wider business units to ensure staff are well-supported, training content is up-to-date, and communications are timely and clear. If you're early in your career (1–2 years of experience) and eager to broaden your experience in the training and systems space, this is the role for you.

Key Responsibilities
  • New Starter Training: Partner with hiring managers to create tailored training schedules; organise, schedule and run training sessions; facilitate full system and process onboarding.
  • Training Content Management: Maintain and update user guides and product walkthroughs to reflect current processes; create new guides for undocumented workflows; audit and revise outdated documentation for accuracy and usability.
  • Monthly System Refresher Training: Plan, schedule, and coordinate monthly business-wide refresher sessions on systems and processes; develop engaging slides and training materials; design follow-up surveys and emails to gather feedback and reinforce learning; create posts to summarize insights from each session; assist in facilitating the sessions as needed.
  • Maintenance and Incident Communications: Draft and update communications for all system maintenance and incidents; ensure timely, consistent messaging to impacted users.
  • Training Program Expansion: Expand the training registry to include non-core systems and tools; develop and maintain resources that support broader business training needs (e.g., user guides, online learning modules, FAQs, or pre-recorded sessions).
Qualifications
  • 1–2 years of experience, or an early-career candidate looking to progress in training and systems.
  • Strong organisational skills.
  • Excellent written and verbal communication.
  • Confident facilitating training and engaging with stakeholders at all levels.
  • Experience with documentation, knowledge base creation, and training content development.
  • Detail-oriented, self-motivated, and capable of managing multiple priorities.

  • Familiarity with Whatfix (Digital Adoption), StatusIO (Incident status page), Blink (Internal Intranet) and/or Learning Management Systems.
  • Experience working in recruitment, product/technology environments.
  • Knowledge of survey platforms and feedback tools (e.g., SurveyMonkey).
