Description:

In this role, you will provide full administrative support to the Facilities function on a day-to-day basis to ensure activities and initiatives progress effectively and efficiently. The role supports Facilities objectives through quality administration, reliable information sharing, exceptional customer service, and relationship development.

The position is based in the office at 1 O'Connell Street, Sydney, from 8:30 am to 5 pm, Monday to Friday.

The Facilities function includes reception/concierge and building services, responsible for mail and couriers, archiving, guest welcoming, stationery, office consumables, parking management, security, building maintenance, and planned capital refurbishments for leased and owned office spaces.

Key duties include:

  • Providing front of house reception/concierge functions such as greeting visitors, managing intercom, dispatching and receiving mail and courier items, inventory management, and stationery orders.
  • Managing document and information systems, including record keeping, policy updates, invoice coding, reporting, and data entry.
  • Supporting space management bookings, system configuration, and troubleshooting.
  • Assisting the Procurement team with leave and administrative tasks.
  • Contributing to a collaborative team environment by sharing information and supporting colleagues to meet goals and deadlines.
  • Assisting with project delivery and administration.
  • Performing ad-hoc administrative activities as required.
  • Supporting event delivery, VIP activities, and room setup for the Events team.

Skills and Experiences:

Candidates should have:

  • Solid experience providing comprehensive administrative support.
  • Intermediate proficiency in MS Office applications, including Outlook, Word, Excel, Visio, and databases.
  • Strong written and verbal communication skills focused on customer service.
  • Excellent organizational and time management skills.
  • Experience supporting projects within deadlines.
  • Ability to prioritize and manage changing workloads.
  • Professional customer service skills and relationship-building ability.
  • Capacity to multitask with high attention to detail.
  • Ability to work independently and collaboratively.
  • Sensitivity to confidential information.
  • IT skills including Microsoft Office, SharePoint, and video conferencing platforms.
