About the RoleThe Programs Administrator is responsible for supporting KWAC's suite of programs through reporting, logistics management, and administrative functions. This role provides vital coordination across programs to ensure efficient operations, compliance with reporting requirements, and high-quality program delivery.
Programs supported include (but are not limited to):
- Community Connectors
- Learning on Dawang
- Other emerging community-led programs
- Provide day-to-day administrative support to program teams under general direction.
- Maintain accurate records, files, and databases across all programs.
- Draft and format presentations, correspondence, reports, and documents.
- Monitor reporting timelines and assist with the collation of program data.
- Manage incoming calls, emails, and enquiries, ensuring timely responses.
- Work closely with Program Coordinators and Finance to support accurate financial administration and reporting.
- Contribute to the development of efficient administrative systems, processes, and tools.
- Organise logistics for forums, events, on-Country activities, workshops, and community engagement initiatives (including booking travel, accommodation, venues, and catering).
- Liaise with internal teams, external partners, and community stakeholders to ensure smooth coordination of program activities.
- Support the planning and delivery of cultural, program, and community events.
- Manage competing demands calmly and effectively, meeting required deadlines.
- Act as a self-starter, organising work priorities with minimal supervision.
- Communicate clearly and respectfully, fostering strong working relationships.
- Be approachable, team-oriented, and supportive of colleagues.
- Uphold confidentiality, cultural respect, and inclusivity in all work practices.
- Contribute positively to workplace culture, endorsing diversity and valuing Aboriginal leadership and ways of doing and being.
- Qualifications in administration, business, or a related field are desirable; equivalent experience will be considered.
- Demonstrated experience in administration and program support.
- Appropriate organisational and task management skills with the ability to adapt to changing priorities.
- Good attention to detail and has pride in the accuracy of their work.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and collaboration tools (Teams, SharePoint).
- Comfortable communicating both written and verbally.
- Ability to exercise initiative and sound judgement in resolving day-to-day issues.
- Demonstrated ability to work effectively under pressure and meet deadlines.
- Eligibility to obtain and maintain a Working with Children Check and National Police Clearance.
