The role – Executive Assistant

CREST Education comprises of two independent, coeducational schools with over 2,200 students, an Equestrian Centre and an Environmental Reserve at Clyde North. Hillcrest Christian College, established in 1981, operates from Early Learning to VCE levels, including VCE mainstream, VCE IB and VCE VM. We are seeking a dedicated and professional Executive Assistant to provide full-time support to our Deputy Principal - Staff & Students, working 38 hours per week.

This role will be reporting to the Executive Assistant to the Executive Principal and working collaboratively with other administration team members.

This role requires a proactive and organised individual who can manage multiple tasks efficiently while maintaining a high level of discretion and professionalism. The ideal candidate will be aligned with our Christian values and committed to our institute's mission.

Key Responsibilities
  • Manage the calendar of the Deputy Principal - Staff & Students, scheduling meetings and diaries, events and priorities to ensure smooth daily operations
  • Handle confidential information with integrity and discretion;
  • Prepare and edit correspondence, reports, and presentations;
  • Coordinate and manage special projects and events;
  • Serve as a liaison between all leaders across CREST Education, staff, students, parents, and external stakeholders;
  • Maintain organised files and records;
  • Assist with administrative tasks such as answering phones, responding to emails, and managing office supplies; and
  • Perform other duties as assigned to ensure the smooth operation of our institution.
Key requirements
  • Proven experience in a senior administrative or personal assistant role
  • High level of professionalism, discretion, and confidentiality
  • Excellent communication and interpersonal skills
  • Strong organisational and time-management abilities
  • Proficiency in Microsoft Office and experience with Synergetic and SchoolBox (or similar systems) desirable
  • Event coordination experience highly regarded
  • Ability to work collaboratively in a busy, fast-paced school environment
  • Strong commitment to Christian values and the mission of CREST Education.
  • Excellent organisational and time-management skills.
  • Superior written and verbal communication skills.
  • Ability to work independently and as part of a team.
