What are we looking for?

An opportunity is now available for an experienced Executive Assistant to join our Head Office in Melbourne to support the Chief Executive Officer (CEO).

In this role, you will provide high-level administrative and strategic support to the CEO, including diary management, meeting coordination, and information oversight. Operating in a fast-paced environment, you will require strong foresight, critical thinking, and a proactive approach to problem-solving, always with professionalism, confidentiality and discretion. Success in this role hinges on exceptional communication, operational excellence, and the ability to build trusted relationships across a broad range of stakeholders.

Day to day responsibilities will include (but not limited to)

  • Management of the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements, ensuring optimal time management and prioritisation.
  • Preparation, editing, and proofreading of high-quality correspondence, reports, presentations, and other documents on behalf of the CEO.
  • Serve as the primary point of contact for internal and external communications directed to the CEO, handling enquiries with professionalism and discretion.
  • Coordinate and facilitate meetings, including agenda preparation, minute-taking, follow-up on action items, and logistics.
  • Anticipate the CEO's needs and proactively resolve issues to minimise disruptions and maximise productivity.
  • Organise and maintain confidential files and records, ensuring easy accessibility and information security.
  • Assist in managing special projects and initiatives, collaborating with cross-functional teams as needed.
  • Handle sensitive information with utmost confidentiality and exercise sound judgment in decision-making.
  • Support the CEO in preparing for board meetings, executive presentations, and public engagements.
  • Continuously identify opportunities to improve administrative processes and communication flows.
  • Assist with planning major organisational events, such as annual conferences.

What will you bring?

To be successful in this position, the following skills, experience and qualifications will be required
  • Relevant qualifications in business administration, communications or related filed.
  • Proven experience as an Executive Assistant or similar role supporting C-level executives.
  • Exceptional verbal and written communication skills; ability to draft clear, concise, and professional documents.
  • Highly organised with strong attention to detail and excellent time management skills.
  • Proactive mindset with the ability to anticipate needs and solve problems independently.
  • Discretion and integrity in handling confidential information.
  • Strong interpersonal skills and the ability to work collaboratively across all levels of the organisation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools.
  • Ability to work under pressure and manage multiple priorities simultaneously.
