Position Summary:

As a Contracts Administrator specialising in Civil Projects, you will play a pivotal role in ensuring the effective management and administration of contracts throughout the lifecycle of civil engineering projects. Your primary responsibilities will involve overseeing contract execution, managing contractual obligations, and mitigating risks, while fostering positive relationships with clients, subcontractors, and project stakeholders. Strong attention to detail, excellent organisational skills, and a solid understanding of contract management principles are essential for success in this role.

Key Responsibilities:
  • Manage the contracting process with new clients in collaboration with the Commercial Team, ensuring all legal aspects of the business are covered.
  • Develop and maintain a process for creating projects, including setting up SharePoint files and ensuring contracts are signed and stored correctly.
  • Monitor project processes to identify shortfalls and develop robust procedures for improvement.
  • Identify and monitor project risks, reporting emerging issues to the Commercial Team.
  • Oversee project processes daily to ensure the quality of deliverables.
  • Ensure tasks are completed on time, within budget, and in scope, adhering to quality standards.
  • Collaborate with the Tender Coordinator on bids and tenders, developing scope of works for each contract.
  • Work closely with the Finance team to maintain payment schedules, variations, and claims for projects on a monthly basis.
  • Perform quality assurance on a daily basis to ensure project standards are met.
  • Manage both external and internal stakeholders on a daily basis.
  • Support the project management team to ensure successful project outcomes.
  • Facilitate project meetings and provide meeting minutes on a weekly basis.
  • Maintain and develop stakeholder relationships through effective communication and problem-solving to ensure project deliverables are met.
Qualifications:
  • Bachelor's degree in civil engineering, construction management, business administration, or a related field.
  • Proven experience in contract administration or project management within the civil engineering or construction industry, with a solid understanding of contract law, construction contracts, and procurement processes.
  • Familiarity with contract management software and systems.
  • Excellent negotiation, communication, and interpersonal skills, with the ability to build rapport and influence stakeholders at all levels of the organisation.
  • Strong analytical skills and attention to detail, with the ability to analyse complex contractual documents, identify potential risks, and develop effective risk mitigation strategies.
  • Ability to thrive in a fast-paced, dynamic environment, managing multiple contracts and competing priorities while meeting deadlines and delivering results.
