Oversee the day-to-day operations of the office, ensuring a professional, efficient, and well-maintained work environment.

Manage office resources, equipment, and facilities; liaise with external vendors and service providers to ensure seamless support.

Maintain and enforce up-to-date office policies, procedures, and systems to support compliance and operational excellence.

Lead and coordinate the administration team, ensuring cohesive workflows, effective task delegation, and high-performance standards.

Coordinate and manage appointment scheduling for legal professionals, including high-level calendar management for the Principal Lawyer.

Support staff leave coordination in collaboration with management, ensuring accurate tracking and adequate team coverage.

Assist with the distribution and monitoring of work assignments to promote balanced workloads and timely service delivery.

Contribute to HR and recruitment processes, including job postings, interview coordination, onboarding, and maintaining staff records.

Plan and coordinate internal meetings, staff events, and training sessions to foster team engagement and professional development.

Coordinate communication, task management, and onboarding for offshore contractors and migration assistants, ensuring effective collaboration, administrative support, and compliance with internal processes and confidentiality standards.

Deliver a professional and welcoming experience by managing reception, client inquiries, and appointment scheduling.

Assist with document preparation, task coordination, and day-to-day support for lawyers and migration agents.

Maintain accurate and compliant client files using legal software such as Migration Manager and LEAP.

Handle clerical duties including scanning, filing, and courier bookings while keeping office spaces organised.

Skills and Attributes

Experience as an Office Manager in the legal industry

Excellent English verbal and written communication skills

A friendly and courteous manner with clients from different cultural backgrounds and with varying levels of English

Good organisational and time management skills

Knowledge of administrative and clerical procedures

Ability to promote a positive team environment

High level of accuracy and attention to detail

Willing to do administrative tasks if required, because we're a team and we show up for each other
