Convergint Asia Pacific is looking for a enthusiastic Service and Scheduling Coordinator to join our culture. The Service and Scheduling Coordinator plays a key role in providing support to our VIC business.

Overview

Role: Service and Scheduling Coordinator. You'll provide administrative and operational support in relation to the scheduling and administration of service and maintenance activities.

What you'll do
  • Receive inbound service calls and preventative maintenance requests from internal and external customers.
  • Create and dispatch work orders for scheduling of planned maintenance and service-related cases.
  • Assist in managing the technician calendar, including service dispatching, tracking and scheduling of works, status tracking, modifying existing sites, and handling general inquiries regarding the service department.
  • Communicate with internal and external customers on the status of technician attendance.
  • Coordinate with technicians and subcontractors for scheduling of planned maintenance and service-related cases.
  • Schedule and follow up on all monthly maintenance customer accounts, ensuring timely communication with contract customers, key customers and sub-contractors. Participate in monthly reviews of expiring contracts and upcoming PM visits.
  • Monitor and follow up on subcontractor actions; process purchase orders and approve invoicing.
What You'll Need
  • 3 years' previous customer service experience preferred.
  • Experience scheduling appointments in related industries (security, engineering) is highly regarded.
  • Strong knowledge of scheduling systems and processes.
  • Strong telephone and interpersonal customer service skills and ability to work under pressure.
  • Solid Microsoft Outlook, Excel, and Word skills.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously.
  • Excellent attention to detail and strong written, verbal, and interpersonal communication skills.
  • Ability to facilitate a collaborative working environment for customers and team members.
  • Proactive with the ability to work on own initiative.
