Responsibilities- Producing landscape construction quotes (including quantifying, sourcing prices and formatting).
- Providing general support to the landscape supervisors on-site, including creating job packs, liaising with sub-contractors and ordering materials.
- Weekly invoicing and sending detailed project updates to clients.
- Client support and communication, including arranging and attending site meetings.
- Administration of construction projects, including council requests and permit applications.
- Communication with key stakeholders and internal landscape design and garden maintenance departments.
- Email and phone communications with internal staff, councils and subcontractors.
- General support to the Construction Manager and Project Coordinator.
- General day-to-day office duties, including answering the office phone and office upkeep.
- Experience: At least 5 years of administrative experience, ideally in a landscaping, construction, or trades/services environment. This is not an entry-level position.
- Highly detail-oriented: Ability to manage multiple priorities and deadlines, thrive in a fast-paced environment, and cope with shifting priorities.
- Excellent communication: Clear, confident, and professional in both written and verbal communications; able to liaise effectively between office staff, site teams, and clients.
- Tech savvy: Proficient in Microsoft Office (especially Excel), Xero, and Adobe Creative Suite. Buildxact experience is desirable. Quick to learn new systems and improve current practices.
- Team-oriented: Approachable, collaborative, and able to work both in a team and independently.
- Competitive salary: Based on experience and negotiable.
