The Opportunity

We are seeking a skilled and proactive Submission Coordinator to join our growing Advisory team in Sydney. This hybrid role is ideal for a detail-oriented professional with a strong background in bid writing and public sector procurement.

You will be responsible for crafting clear, compelling, and compliant proposals that reflect HKA's value proposition. This role involves close collaboration with subject matter experts and technical teams to develop tailored content for EOIs, RFPs, and capability statements. You'll also contribute to maintaining a library of reusable content and case studies and support internal processes that ensure quality and consistency across submissions.

This is a high-impact role with visibility across the business and strong potential for career growth.

Proposal Development
  • Write and edit persuasive content for EOIs, RFPs, and capability statements.
  • Ensure alignment with client requirements and HKA's strategic messaging.
  • Tailor responses to reflect technical input and project experience.

Content Management
  • Maintain and enhance a repository of reusable content, case studies, and credentials.
  • Support the development of templates and tools that streamline proposal creation.

Stakeholder Collaboration
  • Work closely with technical teams, subject matter experts, and leadership to gather inputs.
  • Facilitate internal reviews and approvals to ensure timely submission.
  • Liaise with marketing, legal, and commercial teams to ensure compliance and brand consistency.

Process Support
  • Assist in managing bid timelines and submission schedules.
  • Assist in the coordination of framework and panel compliance for key accounts.
  • Contribute to the development of bid plans and checklists as needed.

Skills And Experience

Ideally you will possess the following skills and experience:
  • Minimum 5 years' experience in a proposal writing or bid management role.
  • Strong understanding of public sector procurement and tendering processes.
  • Proven ability to manage multiple deadlines and deliver high-quality content under pressure.
  • Excellent written and verbal communication skills.
  • Highly organised with strong attention to detail.
  • Proficient in Microsoft Office Suite.
  • A collaborative team player with a proactive, can-do attitude.
