This Position Matters Because

The Tour Coordinator provides administrative support to Promoters in the planning and organising of tours, shows, festivals and performances. This includes undertaking research, ticketing builds, planning and executing tours and marketing requirements.

The position works closely with Promoters and the broader DAL Touring team and will refer decisions and seek guidance and mentoring from Promoters. Critical to this position is organisation, time management, attention to detail, agility and effective communication.

Key Accountabilities

Touring Planning and Logistics

  • Extract artist statistics from socials, Pollstar and alternate sources to inform artist viability assessment.
  • Develop draft launch plans for Promoter review and liaise with artists for key dates prior to activation in accordance with sales.
  • Assist Promoter with review and markup venue and artist legal agreements and ensure signatures are in place.
  • Advise DAL team of tour confirmation ahead of formal email with launch plan.
  • Prepare ticketing builds on behalf of Promoters in conjunction with the venue (obtain approval for >600 cap).
  • Identify and confirm suitable publicist and available support bands.
  • Liaise with publicist and marketing on publications and opinion-editorials as required, with promoter approval if required.
  • Partner with marketing to enable the development of sign-up pages, pre-registration, marketing campaigns and tour announcements that align with the launch plans drawing on the advice and oversight of the Promoter.
  • Ensure assets and artwork are collated based on launch timelines.
  • In partnership with Promoter oversee tour expenses and confirm or decline expense requests in accordance with contracts and agreements.
  • Manage immigration and visa requirements in a timely and proactive manner.
  • Organise tour accreditation processes ensuring logistics and information packs are organised, informative and clear.
  • Hire tour contractors including but not limited to event production and tour managers.
  • Undertake research and administration as directed by promoter to enable deal memorandums to be put in place.

Tour and Event Execution

  • Plan and manage the end-to-end VIP experience including ensuring products are delivered on time and representatives are fully briefed and able to deliver a high-quality experience.
  • Oversee the execution of events, working with the venue, artist management, and production teams to ensure smooth operations, as guided by Promoter.
  • Follow approved travel policies and procedures.
  • Address and effectively communicate on any issues related to logistics, security, sound quality, or audience experience that arise during the event.
  • Monitor externally facing email accounts and respond to queries.
  • Coordinate invoices and financial requirements (including venue reports, cost summary report and road float acquittal) to enable settlement.
  • Assist with ad hoc tasks as needed.
  • Ensure effective handovers are completed prior to planned annual leave, including documentation of ongoing tasks, key contacts, and any deadlines to ensure seamless workflow during absence.

Reporting and Evaluation

  • Track and develop sales reports.
  • Liaise with Finance Team for generation of report data for ticketing, profit and loss, artist results, stakeholder engagement, wins/losses.
Qualifications & Experience Requirements
  • A relevant qualification in the music industry, events, marketing/publicity or a related field is advantageous.
  • 2+ years experience in a full time administrative position within the music industry is desirable.
  • Advanced expertise in Microsoft Office Suite and Google Suite.
  • Australian Work Rights.
  • A valid driver's licence (preferred).
