We are seeking a Submissions Lead to coordinate proposals, EOIs, and capability materials across our project work in Australia, the UK, and the Middle East. This is a Brisbane-based role working closely with our London studio to support both local and international opportunities. We work with clients at all levels of government, in the private sector, and in not-for-profit organisations, often under rigorous procurement frameworks. Many of our projects are delivered in partnership with leading architects, engineers, and consortiums on complex, high-profile projects and major events, where managing submissions across diverse stakeholders is key.

You will be part of a team delivering design services for civic, health, education, and infrastructure projects. Submissions range from short-form proposals to highly detailed tender responses. Your role is to ensure these documents are clear, accurate, well structured, and aligned with the studio's values.

This role calls for someone with the smarts, drive, and curiosity to take ownership of the submissions process. You enjoy problem solving and can shift easily between formatting quick proposals and unpacking the detailed requirements of complex tenders. You will be supported by our leadership team and senior designers, and you will work within established systems, tone of voice, and positioning materials, coordinating seamlessly across our Brisbane and London studios.

What you'll bring

Strong understanding of public procurement frameworks and government submission requirements, with the ability to operate confidently in rigorous, highly structured procurement environments

Experience working on EOIs, proposals, or tender responses in a design, architecture, or construction context

Proven ability to manage submissions as part of multi-disciplinary teams, including as subconsultant to architects, engineers, or consortiums on large-scale projects and events

Ability to review and interpret tender documents and translate requirements into coordinated response plans

Clear, concise writing and editing skills suitable for professional services submissions

Capacity to manage overlapping deadlines and coordinate input across a small but active team

Familiarity with managing a submissions calendar, tracking tender progress, and reporting on pipeline activity

Proficiency in Adobe InDesign, Microsoft Office and Pages on a Mac platform

Confidence in liaising with clients, tender administrators, and consortium partners during live submissions

3–5+ years of relevant experience in submissions, proposals, or tender coordination

Ambition, curiosity, and a proactive mindset

What you'll be doing

Coordinating EOIs, tenders, and award submissions for Australian and international opportunities in collaboration with both Brisbane and London studios

Reviewing submission requirements and coordinating responses based on project scope and studio capability across both locations

Liaising with clients, tender administrators, and multi-disciplinary teams in multiple time zones to ensure timely delivery

Drafting and refining content using established templates and tone of voice shared across both studios

Managing the internal submissions schedule, maintaining a reporting dashboard, and ensuring visibility for both Brisbane and London leadership teams

Tracking feedback and outcomes to inform future improvements for our global submissions approach

Supporting the Director with activity and pipeline reporting across all markets
