About the role

As the Administrative Assistant, you will provide administrative and secretarial services to the Manager and staff at the Museum of the Great Southern, including basic financial and human resource administrative processing, diary coordination, and records management.

The role also involves coordinating bookings and promoting the Museum's spaces for hire, and assisting the Operations Manager to ensure venue operations comply with health, safety, and statutory regulations, and that internal policies and procedures are followed.

The successful applicant will be expected to:

  • Secretarial: Answer and direct telephone calls, receive visitors, respond to enquiries, liaise professionally with stakeholders on behalf of the Manager, type and track correspondence, arrange meetings, prepare agendas, take minutes, and organize staff travel including itineraries, visas, and accommodation.
  • Administrative: Provide quality word processing, handle basic financial and HR administration, research requests/enquiries, analyze documents, coordinate information, manage databases, and prepare PowerPoint presentations.
