The Company: This leading events agency in Sydney deliver some of the best corporate events in Australia This agency operates with the belief that how a brand communicates is not built around what they say, but the experiences that they create and share with audiences. They are looking for a Production Coordinator to join their team

Position Terms:

  • Full-time permanent role, hybrid working
  • Salary: $80,000 - $90,000 plus super depending on experience
The Role

The Production Coordinator will report to the Senior Producer. The Production Coordinator role is at the centre of all deliverables of a project and is responsible for the quality, timing, budget and OH&S for each project. The Production Coordinator is responsible for administration, scheduling and delivery of logistical, technical and fabricated elements at all stages of an event.

Key Responsibilities include:

  • Pre-Production:
    • Refine and support the production time line and on-site schedules
    • Sourcing various suppliers
    • Engage appropriate delegate registration process
    • Manage crew travel and accommodation process
    • Design briefing
    • Supporting with any venue, council approvals documentation and submission
    • Support with Health and Safety Management Plan, documentation and forms required in the lead up and onsite at events
    • Ensure all information from technical departments is distributed to all relevant fabricators
    • Support in the creation of Purchase orders and support with project finance where required
    • Support with Sponsorship/Exhibition management
  • On-Site:
    • Managing Exhibitor/Product Deliveries on-site
    • Supporting the producers when on-site
    • Support the technical and logistical running of the event
    • Support the crew registration process, transfers accommodation, and F&B
    • Support the build producer with the dismantle of the production office and bump out where required
    • Support build producer with storage inventory
    • Ensure that a high-quality standard of delivery is maintained
  • Post-Production:
    • Support with Financial reconciliation of the production budget
    • Attend debriefs and communicate results
    • Archive technical project files
The Candidate

The ideal candidate will have experience working within an Events Agency as an Event Coordinator or Production Coordinator looking to take the next step in their career Experience producing corporate events is highly desired.

  • Administrative & organisational skills.
  • Excellent computer literacy (Word, Excel, PowerPoint, Photoshop)
  • An understanding of event registration is highly desired
  • Excellent communication skills
  • Good problem solving and lateral thinking skills
  • A desire to be accurate and detailed
  • Ability to travel for events when required
  • Ability to build strong supplier relationships
  • Ability to work as part of a team, as well as independently
  • Ability to travel for events when required
  • Ability to work from the office Tuesday-Thursday
