The Opportunity

Newcastle Anglican has an exciting opportunity for an Executive Support Officer to join the team on a 12-month maximum term contract.

In this role, you will provide essential administrative support across the executive function, particularly supporting the Executive Assistants, Clergy, and other key stakeholders.

Role & Responsibilities:
  • Provide general administrative support to Executive Assistants and the Corporate Secretary during periods of leave and peak demand.
  • Coordinate key meetings, including logistics such as hospitality, room setup, and catering arrangements.
  • Prepare and review essential documents to ensure the timely and accurate delivery of support for Councils, Boards, Executive meetings, and Committees, including reports, agendas, minutes, and email communications.
  • Support significant events such as Synods, Ordinations, and clergy events, ensuring smooth execution and positive attendee experiences.
  • Maintain and update the Diocesan Directory and CRM records, ensuring data integrity.
  • Assist the Parish Liaison Officer with processes like Parish Annual Returns, licensing, and updating the Bishop's Acts.
  • Manage archives, filing systems, and information management to ensure proper storage and retrieval.
  • Research, analyse, collate, and provide information to support decision-making and planning.
  • Document, file, and maintain Diocesan registers and official acts.
  • Handle confidential matters with discretion at all times.
About you?
  • Certificate IV or higher in Business Administration or equivalent
  • Current driver's license
  • Substantial administrative experience
  • Proven ability to build effective relationships with employees, volunteers, and stakeholders
  • Advanced computer skills, including keyboarding speed, accuracy, and in-depth knowledge of MS Office Suite
  • A high level of discretion handling confidential and sensitive information
  • Adherence to legislation, policies, and procedures
  • Experience coordinating and facilitating meetings
  • Expertise in travel and conference bookings and management
  • Experience researching and supporting document collation
  • Ability to work independently and as part of a team
