Position Overview

This position has a strong focus on attention to detail and exceptional organisational skills, coupled with the discipline to provide executive administration. You will be working closely with the Business Manager to ensure our CEO executes on his mission and deliverables.

Key Responsibilities

Manage and prioritise ensuring urgent matters are addressed

Agenda & Minutes of various meetings

Monthly Credit card and reimbursement reconciliations

Research for various weekly and monthly projects to provide executive summaries of pivotal information

Administration preparation for tenders, contracts and schedule of charges

Correspondence and document drafting

Working with various databases and accounting systems for data analysis

Collaboration with several departments on information gathering and document control

Ensure the smooth day-to-day running of the office by ordering stationery, kitchen supplies, IT issues and fixes, maintain registers and supplier liaison

Organise new laptops, phones, keys and fleet maintenance as required

Demonstrated ability to prioritise workload to meet strict deadlines

Ability to handle sensitive information with the highest amount of confidentiality

High attention to detail to achieve success in this role

Hustle daily on important versus urgent tasks and projects

Collaborative team player

Intermediate to advanced skills in Microsoft Office Suite, SharePoint and Canva
