Job Description

PRIMARY PURPOSE OF THE ROLE

To provide high-quality reception and secretarial services to patients and staff at the clinic in a caring and supportive manner.

To support nursing staff in the dialysis clinic by performing non-clinical duties related to patient care.

KEY RESPONSIBILITIES

General Administration

  • Answer the switchboard courteously and professionally.
  • Liaise compassionately with patients and their families.
  • Perform clerical tasks such as filing, minute-taking, and agenda creation.
  • Manage petty cash dispersal and reconciliation.
  • Maintain and order office supplies.
  • Handle bookings and patient transport arrangements.
  • Assist with quality improvement programs.
  • Coordinate holiday patient inquiries and applications if required.
  • Create and maintain patient newsletters.
  • Admit and discharge patients within the billing system, ensuring forms are completed correctly.
  • Conduct eligibility checks with private health funds for new patients.
  • Prepare invoices and credit notes, and collate supporting documentation.
  • Handle banking procedures for payments.
  • Maintain accurate records of patient information and reconciliations.
  • Ensure cleanliness of treatment areas, stockrooms, and medical devices.
  • Assist with nutritional food delivery and ordering.
  • Manage stock levels, ordering, and inventory checks.
  • Coordinate linen, rubbish, and waste disposal.
  • Organize blood sample collection and handling.
  • Participate in quality assurance activities.
  • Promote a safe and healthy environment for staff and visitors.
  • Engage in ongoing training and skill development.

COMPETENCIES

  • Minimum 2 years' experience in a similar role.
  • Knowledge of infection control and hygiene principles.
  • Effective communication and teamwork skills.
  • Understanding of Work Health and Safety regulations.
  • Knowledge of quality improvement and risk management.
  • Skills in food preparation and presentation.
  • Office skills including filing and answering inquiries.
  • Completion of a Patient Service Assistant Certificate or equivalent.
  • Proficiency in MS Office.
  • Discretion, confidentiality, and maturity in handling sensitive information.
