Overview

Join to apply for the Senior Project Administrator role at VINCI.

We are a successful civil contracting business with over 35 years operating in Australia. With the agility and personal connection of a Tier 2, the expertise of a Tier 1, and the resources of one of the largest, world‑class construction companies, VINCI, our employees and clients get the best of three worlds. There are project wins on the horizon, including a major project with packages to be awarded early 2025, offering opportunities to contribute to shaping the future of infrastructure in Melbourne. We are a progressive civil engineering firm that engages, enables and empowers our people to be better, and we believe we are stronger together in building the future we want.

We're looking for an experienced Senior Project Administrator to support a busy infrastructure project with high‑volume transactions and fast‑paced delivery. You'll be responsible for end‑to‑end site administration, subcontractor support, cost tracking, invoice processing, procurement, and supervising a small team of administrators. Your ability to manage competing priorities, maintain strong attention to detail, and liaise confidently with multiple stakeholders will be key to success. Previous experience leading staff is essential, and exposure to high‑volume environments, particularly using systems like Viewpoint, Excel, and SharePoint, will be highly regarded. This is a great opportunity for someone who thrives under pressure, enjoys structured processes, and wants to play a vital role in a dynamic project team.

Responsibilities
  • Lead and support end to end project administration across a fast‑paced infrastructure environment.
  • Supervise and mentor a small team of site administrators, ensuring accuracy and efficiency.
  • Manage high volumes of transactions including invoices, procurement, and subcontractor claims.
  • Liaise with contractors, suppliers, and internal teams while juggling multiple competing priorities.
  • Proficient in Excel, SharePoint, and ideally Viewpoint; thrives under pressure and process driven environments.
Qualifications
  • Certificate III Business Administration qualification or similar.
  • Proven experience in job costing, purchasing, and accounts, ideally within the construction or infrastructure sector.
  • Advanced data entry skills with a strong focus on speed, accuracy, and attention to detail.
  • Excellent written and verbal communications skills.
  • Current C-Class Driver's Licence.
Benefits
  • Health & Wellbeing – discounted health insurance, seasonal vaccinations, wellness discounts, fertility benefit and employee assistance program (EAP).
  • Time for life / Work life balance – birthday leave, purchased leave program, paid parental leave and flexible work arrangements.
  • Financial wellbeing – competitive remuneration, annual performance bonuses, salary continuance insurance and employee share program.
  • Career development – training, mentoring programs, and leadership development program.

Many of our projects are located in regional areas, therefore all applicants must hold a current Driver's Licence and have their own transport.
