Ironbridge Legal is seeking a highly organised, proactive, and experienced Executive Assistant (EA) to work 1:1 with Trevor Withane, the Founding Partner of Ironbridge Legal. This is a critical role, offering the right candidate the opportunity to work closely with a prominent and highly engaged legal professional in a fast-paced, high-performance environment.

As Trevor's dedicated EA, you will be responsible for overseeing his daily operations, diary, priorities, meetings, and communications. You will be the key liaison point between Trevor and both internal team members and external stakeholders, ensuring seamless coordination of his professional obligations and strategic priorities.

This role replaces a dual Practice Manager/EA arrangement and has been created to allow for complete and focused support of Trevor, ensuring his time is optimised and his objectives are actioned without delay.

Key Responsibilities

· Diary and Calendar Management: Proactively manage Trevor's schedule, balancing competing demands, preparing for meetings, and anticipating changes or conflicts.

· Meeting Coordination: Organise and confirm internal and external meetings (across multiple time zones), including preparation of agendas, travel arrangements, and follow-ups.

· Task and Workflow Management: Track Trevor's action items and ensure progress is made; flag and follow up on outstanding tasks and strategic priorities.

· Timesheet Management: Ensure Trevor's timesheets are completed accurately and daily in Actionstep, capturing all billable and non-billable time, including meetings, calls, and emails.

· Email Management and Filing: Manage and file Trevor's emails daily using NetDocuments, ensuring all correspondence is correctly stored in line with internal procedures.

· Communication Management: Draft, proofread, and send correspondence on Trevor's behalf where appropriate; screen and prioritise inbound communications.

· Liaison Point: Act as the primary interface between Trevor and clients, counsel, internal team members, and other external stakeholders.

· Administrative Support: Provide executive-level assistance, including document preparation, expense tracking, and general day-to-day coordination.

· Business Development Support: Assist Trevor with BD initiatives, including researching key contacts and targets, supporting outreach strategies, and helping devise contact and follow-up plans.

· CPD Compliance Management: Monitor and ensure Trevor's Continuing Professional Development (CPD) obligations are met, including maintaining accurate records and identifying relevant training opportunities.

· Confidentiality and Professional Discretion: Maintain a high level of confidentiality when handling sensitive matters and internal communications.

About You

You are:

· Exceptionally organised, with a proven ability to manage a dynamic and demanding diary.

· Detail-oriented yet able to see the bigger picture and anticipate needs.

· A strong communicator, both written and verbal, and comfortable interacting at senior levels.

· Reliable and proactive, taking initiative to manage tasks independently while keeping internal staff and stakeholders informed.

· Skilled at juggling multiple priorities, adapting quickly to changes and troubleshooting on the go.

· Comfortable in a corporate and/or legal environment.

Experience and Qualifications

· Minimum 3–5 years' experience as an Executive Assistant, preferably supporting a senior executive, partner, or legal professional.

· Prior experience in a legal or professional services environment is highly regarded.

· Strong proficiency in Microsoft 365, including Outlook, Teams, Word, and Excel, as well as Practice Management Software, particularly Actionstep and NetDocuments.

· Demonstrated ability to manage complex calendars across multiple time zones.

· Proven capacity to work effectively in a discreet, fast-paced, and confidential environment.

· Excellent written and verbal communication skills, with a strong attention to detail.

· Familiarity with legal research tools, as well as document management and workflow platforms such as NetDocuments and Actionstep

· Highly developed organisational and time-management skills, with the ability to prioritise competing tasks and meet tight deadlines
