The OpportunityTo support the growth of our company, Bhagwan Marine is looking for an experienced Purchase Administrations Officer to join our Finance team based in the Port Melbourne office. The successful applicant will be a highly motivated, self starter with the ability to build positive, working relationships with internal and external key stakeholders and have previous experience in purchasing or procurement preferably within the marine, oil & gas, or resources industries.
Use request to purchase forms to raise purchase orders in Dynamics 365.
Update purchase orders within the system, on receipt of signed goods and services dockets.
Reconcile Purchase Orders with Invoices and verify the receipt of goods or services.
Liaise with appropriate operational teams when required for timely requests of RTPs and approvals.
Liaise with suppliers regarding products, prices, and geographical coverage.
Liaise with suppliers regarding quotations, orders, deliveries and corrective actions around delivery issues and invoice discrepancies.
Coordinate data management and maintain information records.
Assist in the development, implementation, and maintenance of systems, policies, procedures, and practices involving the purchase order process.
Ensure that the appropriate processes and information flows are utilised to maintain timely communication across the business and with suppliers.
Responsible for the development and implementation of a new stock and inventory management system to improve operational efficiency and accuracy.
Manage and maintain inventory of any stored or warehoused items.
Conduct periodic stock takes as requested.
Assist the Finance team at head office when required.
Ensure that all procurement is conducted in accordance with relevant policies, procedures, and legislative requirements.
Ensure safety to all staff, the community, and the environment.
Provide coverage of relevant positions in the business unit as required such as in the event of annual leave or other absences, ensuring that all handover notes are adhered to, and outstanding tasks completed in a timely manner.
Qualifications, Experience & Skills- 1 - 3 years demonstrated accounting/purchasing experience.
- Sound business acumen / commercial sense.
- Strong computer skills, efficient in Word, Outlook, and Excel.
- Microsoft Dynamics 365 experience preferable.
- Ability to work autonomously and within a team environment.
- Highly motivated self-starter.
- Intelligent, strategic, and logical thinker.
- High standards of honesty, integrity, reliability, and professionalism.
