We are seeking a highly organised and proactive Talent Acquisition (TA) Coordinator to join our team. In this role, you will deliver first-class administrative support and candidate-facing coordination to ensure our team can achieve exceptional hiring outcomes for VetPartners Practices. Reporting to the TA Lead Support Functions, your responsibilities will span from managing the careers inbox and handling reporting queries to processing invoices and contracts. Additionally, you will support the national locum pool and coordinate recruitment events. Through your meticulous organisation and excellent service, you will help ensure our clinics stay fully staffed and candidates have a seamless hiring experience.

Key Responsibilities

  • Recruitment Administration & Systems:
    • Manage the careers inbox, responding or directing enquiries within 24 hours.
    • Set up new Jobvite users, maintain the clinic map, and ensure talent pools are aligned with current structures.
    • Manage recruitment invoices, coding costs, and sending them to Finance weekly.
    • Provide overflow contract generation support for support roles, ensuring a 48-hour turnaround on SLAs.
  • Locum-Pool Support:
    • Assist Locum recruiters with new locum requests, responding to clinic and locum queries, and communicating with the locum pool through JobVite.
    • Coordinate travel and accommodation for booked locums, optimising costs and clinic experiences.
    • Post locum adverts using Canva templates and assist the Employer Brand team with targeted marketing and campaign management.
  • Continuous Improvement & Reporting:
    • Identify improvements in key administrative processes, collaborating with the TA Ops Analyst to enhance manual processes and the recruiter and candidate experience.
    • Act as the primary liaison with the P&C People Advisory team, vendors, and other internal stakeholders as required.
    • Maintain regular monthly reporting on critical processes, including referral and recruiter bonus approvals. Produce compelling PowerPoint reports and data for the GM, TA as required.
    • Upskill recruiters on JobVite processes and self-service reporting.

Skills, Attributes, and Experience:

  • 2–3 years' coordination or administrative experience in recruitment, HR, or events.
  • Strong organisational skills with the ability to manage high-volume tasks and tight timelines.
  • Confident user of Canva or similar design tools.
  • High attention to detail, numerical accuracy for invoice processing, and service orientation with both internal clients and candidates.
