Overview

Role Overview:

The Visa Services Coordinator will be responsible for supporting and managing the student visa application process from start to finish. This role involves working directly with clients, ensuring timely and accurate preparation of documentation, and providing administrative support to the team. You will be a key point of contact for students navigating the complex visa process and must be able to deliver outstanding client service.

Key Duties and Responsibilities
  • Assist students with preparing and submitting visa applications, ensuring compliance with immigration requirements.
  • Provide accurate, up-to-date information and guidance on visa processes, checklists, and timelines.
  • Collect, verify, and organize all supporting documents required for visa applications.
  • Communicate with clients via email, phone, and in-person meetings to address questions and provide updates.
  • Liaise with educational institutions, immigration authorities, and other stakeholders as needed.
  • Track application progress and follow up on pending or missing documentation.
  • Maintain and update client records, case notes, and files in a confidential and organized manner.
  • Perform general administrative duties, including data entry, document preparation, filing, and invoicing.
  • Monitor changes in visa regulations and update the internal team and clients accordingly.
  • Contribute to process improvements and uphold company standards for efficiency and professionalism.
Qualifications and Skills
  • Prior experience in visa services, administration, or customer service (preferred but not essential).
  • Strong attention to detail with excellent organizational and time-management skills.
  • Good understanding of visa application processes (training can be provided).
  • Effective communication skills – both written and verbal.
  • Ability to manage multiple tasks and deadlines efficiently.
  • Proficient in Microsoft Office and document management systems.
  • Strong customer service orientation with a positive and professional attitude.
  • Ability to handle sensitive information with discretion and confidentiality.
