Knowmore Legal Service is a nationwide free and confidential service, supporting victim-survivors of childhood abuse and the Stolen Generations.

Our team provides trauma-informed legal assistance, financial counselling, social support, and specialised cultural support for First Nations Peoples.

The Role

We are seeking a highly organized and detail-oriented Office Administrator to manage the day-to-day operations of our office. The ideal candidate will be responsible for overseeing administrative tasks, managing office supplies, coordinating meetings, and ensuring the smooth running of the office.

Responsibilities:

  1. Perform receptionist duties including taking primary responsibility for answering the main office phone (not telephone advice line), providing general information about knowmore, taking and delivering messages, welcoming clients in person, responding to and dealing with other visitors, deliveries etc.
  2. General office duties including word processing, filing, scanning, photocopying, faxing, collecting and delivering mail, maintaining records of incoming and outgoing communications.
  3. Provide support to the multi-disciplinary team as requested and provide back up to the Paralegals when necessary.
  4. Manage and book all travel, flights and accommodation for staff.
  5. Provide support to the Finance team by preparing monthly credit card, cab charge, travel card and petty cash reconciliations.
  6. Take stock and arrange quotes and purchase of office equipment/equipment/stationery.
  7. Facilitate room bookings, in house network meetings, assist with Skype and catering.
  8. Maintain all records at Knowmore in accordance with policies and procedures, promptly, accurately and appropriately filing (electronic and hard copy) all records.
  9. Participate in induction process for new starters ensuring systems are ready for their first day.
  10. Demonstrate a high level of attention to detail in administrative activities but especially in record keeping, data entry and filing.
  11. Demonstrate experience in a similar role, which shows the ability to handle difficult situations with tact, discretion and empathy.
  12. Maintain a flexible collegial and professional approach to working within a multi-disciplinary team both locally and nationally.
  13. Maintain ability to work independently and also contribute positively as a part of a team.

Qualifications:

  1. High school diploma or equivalent required; associate or bachelor's degree preferred
  2. 2+ years of experience in an administrative role
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  4. Excellent communication and interpersonal skills
  5. Strong organizational and time management skills
  6. Ability to multitask and prioritize tasks effectively
  7. Attention to detail and accuracy
  8. Ability to work independently and as part of a team
