Role Overview

Reporting to the Operations Manager - Festivals, the Operations Executive will oversee the operational and logistical delivery of the SXSW Sydney Screen Festival, including managing over 90 screenings and 45 industry events across various venues. Responsibilities include production, technical delivery, scheduling, budgeting, and supporting functions such as accessibility, staffing, signage, ticketing, and hospitality. This role is ideal for a screen industry enthusiast with strong operational skills and a passion for world-class events.

Key Responsibilities

  • Support the delivery of a seamless festival experience for talent, distributors, and attendees.
  • Assist with planning and executing operational elements on time and to high standards.
  • Coordinate procurement, venue hire, technical production, and staffing logistics.
  • Act as a primary contact for external partners, ensuring smooth delivery of screenings and events, managing schedules, approvals, and WHS compliance.
  • Build relationships with stakeholders to foster collaboration.
  • Monitor budgets, manage invoices, and seek cost-saving opportunities.
  • Ensure supplier compliance with health and safety regulations.
  • Contribute to continuous improvement in festival planning and delivery.

Candidate Profile

Essential Skills and Experience

  • At least 4 years' experience in event operations, preferably in film festivals or live entertainment.
  • Strong leadership and communication skills, capable of managing multiple stakeholders.
  • Proven experience in large-scale event procurement and logistics.
  • Effective negotiation and contracting skills.
  • Excellent problem-solving abilities and attention to detail.
  • Knowledge of risk assessment, mitigation, and WHS compliance.
  • Experience managing large teams of staff and volunteers.
  • Highly organized with strong project management skills.

Desirable Skills

  • Experience in film festivals or cinema operations.
  • Understanding of film screening technical requirements.

Additional Notes

  • This role requires working outside of regular hours and on weekends closer to the event.
